All families collect information to some degree about their home, property, or other family records. Some store copies of their documents or slips with notes in the cubby hole of a desk. Others put receipts in a accordion files, usually stuffed full. Still others keep their records in shoe boxes in the closet. The information stored this way is not easily to located when needed. HomeData's menus quickly lead the home owner to the right information. HomeData's reports and inquiries can also be a help in many situations - fires, thefts, medical emergencies, tax reviews or filing taxes. Seven database applications are available in HomeData. The menus, with prompts on every screen and clear descriptions as well as an on-line Help, make HomeData easy to learn and use. Anyone can learn to use HomeData in less than an hour. HomeData Requirement HomeData can be installed on any IBM compatible computer with: MS-DOS or PC-DOS, 2.0 or greater A 5.25" or 3.5" floppy disk drive A hard disk of any size 640K RAM memory A printer capable of printing 132 columns of compressed print Installing HomeData To install HomeData: 1. Create a separate directory on your hard disk to hold the HomeData program and data files. This directory should be named "HOME". This directory is created by typing at a DOS prompt: MD\HOME and pressing the Enter key (the Enter key has a arrow to the left and is above the right shift key). 2. Once this has been done, make this your default directory. This is done by typing at a DOS prompt: CD\HOME and pressing the Enter key. 3. Copy all files from the program disk to this directory. At a DOS prompt type: COPY A:*.* and pressing the Enter key. Starting HomeData for the First Time You should always start HomeData from within the HOME directory. This directory contains the help files, data files and indexes which are needed by HomeData. Starting anywhere other than in the HOME directory will not enable HomeData to locate the files it needs. Start HomeData at a DOS prompt by typing: HOME and pressing the Enter key. The first time HomeData is started several things will happen. First if you have a color monitor you will be asked to set the desired colors. Press "PgDn" to accept these. You can change these later by selecting the "Maintenance of Files" menu option. Then a message "Setting Up Files" will appear. HomeData is creating all the data and index files at this time. Once these files have been completed HomeData's setup screen will appear. HomeData needs to know your family name, address and other items you will be using like certain printer and drive defaults. Enter the compressed print code, for Epson and IBM printers this code is entered as "chr(15)" without the quotes. Check your printer manual for the compressed and bold codes for your printer. For IBM and Epson printers; Bold On is "chr(27)+'E'", Bold Off is "chr27)+'F'", and cancel compressed print code is "chr(18)" . Once the setup screen has been completed HomeData's logo will appear. The logo will normally be the first screen seen when HomeData is activated each time. This screen will appear for five seconds. Pressing any key will bypass this built-in delay. Menus Each of HomeData's seven applications have similar menus. Each may be selected from the Main Menu. The menu options may be selected either by highlighting the option by using the up- or down-arrow. Once the desired option is highlighted press the "Enter" key to activate the option. As you highlight the menu options you will notice a line at the bottom of the monitor describe the menu option. Another way to use HomeData's menus is to press the first letter of the menu option. An application menu - similar to HomeData's main menu. The application menu is the main menu for the application. The other menus are the change or edit menu and the report menu. The application menu will usually offer three choices - Add, Change, or Reports. The first menu option will always activate the data entry screens. The second menu option will activate the change (or edit menu). The third menu option from the application menu will activate the report menu. The change or edit menu will usually offer three menu options for how you want to select data records to change. The first option allows you to select a single item to change. The second allows you to do so alphabetically. In some cases a third option if available. The report menu list the various reports available. Again highlight the options and view the message line for a description of the report. HELP The second message at the bottom of your screen notifies you that a on-line HELP (F1) is available. Pressing F1 at any point in HomeData and will cause a window with a short Help message to appear. This Help message will provide instructions what you are expected to do at the particular point when the F1 key was pressed. Once the Help message has been read you must either press a key (if the entire Help message is visible) or press ESC if the message is larger than the popup window. Adding Data Okay we are ready to enter data into one of HomeData's seven modules. Highlight the module name on the Main Menu and press the Enter key OR press the letter of the desired application. Remember the first item in the sub-menu is the add data option. Press the Enter key with the "Add __________" will activate the data entry screen. Exiting from the data entry screen. Before we add something, let's tell you how to exit the data entry screen. You will see a message displayed under the first data element or field of the data entry screen. This message indicates that leaving the first data element blank and pressing the Enter key will return you to the application menu. Inventory Module The inventory module contains information about your personal possessions. The information in entered with two major breakdowns - category and room location. See the descriptions below. Highlight "Inventory" if it isn't and press the Enter key. Select Add Item by pressing the Enter key with Add Item highlighted. Enter the name of the item, i.e. Desk, Walnut Table, Bed, etc. Category. If you are adding something such as an appliance or anything that you know the Make and Model answer this with "Y". Doing so will cause three additional questions to be displayed asking you to enter the Manufacture, Model and Serial Number of the item entered. Condition. Enter "GOOD", "FAIR", or "POOR" Description. Enter comments which will describe the item, such as the items color, size, quantity, etc. Room. Establish abbreviations for the rooms in your house, i.e. LivRm, Bed1, BedM. Date Acquired. Self explanatory. Cost. Self explanatory. Current value. This is important for antiques, paintings, etc. Health Module The health module will contain the health records of your family members. Information collected includes immunizations, disease, hospitalization, and other (eye, dental, drug prescriptions, etc). Highlight "Family Health" on the Main Menu and press the enter key to activate the application menu with three options, 1) Add Medical, 2) Change Info, 3) Reports. Highlighting the Add Medical option and pressing the Enter key will cause the data entry screen to be displayed. By leaving the name blank on the data entry screen and pressing the Enter key HomeData will exit the data entry screen and return you to the Main Menu. Shots: If the family member received an immunization enter the name of the immunization. Leave this blank if not applicable. Disease: If the situation is a disease enter the name of the disease. Leave this blank if not applicable. Surgery: If the situation is surgery enter the name of the surgery. Leave this blank if not applicable. Hospitalized: If the member is hospitalized enter the reason. Leave this blank if not applicable. Other: Enter other health related items, i.e. eye check up, dental activities, prescriptions (be sure to enter instructions in remarks). Medical Facility or Doctor: Enter the doctors name. If unknown enter where the hospital or medical facility treatment was received. Remarks: Expand on the situation, where or how it happened. Address Book Module After highlighting the "Address Book" on the Main Menu the application menu will appear. Enter data by highlighting the Add New Family option and press the Enter key. The data entry screen will be displayed. After adding the last and first name HomeData will check to see if the person has previously been entered. If so, a message will appear indicating that this person "exists in database", otherwise it will allow you to proceed. You may use this code to personalize your address book even further. Example "F" for friends, "C" Church, "B" business associates or any other code you create. Establish a code from club members. Up to 5 single letters may be used at any one time for this code. However, do not use the same code for more than one type. An example: Entering the following code - TCF may represent T for Train Club, C for Church and F for friend, but C could not be used for both Church and Community. Vehicle Maintenance Module The vehicle maintenance module contains the information about each vehicle you own. It also contains the maintenance information for each vehicles. Selecting the "Add Vehicle" option will activate a submenu from which you can decide whether to add basic information about each vehicle - date acquired, year of vehicle, cost, make and model or vehicle maintenance. When you add the basic information about a new vehicle the first thing is to assign it a vehicle number. This number is important. During this option HomeData checks to see if the number has been already entered. If it has, you are informed to use the edit (change info) to access a vehicle with that number, otherwise select this option again and use a different number. Leaving the number blank will return you to the application menu. The second menu option "Vehicle Maint." is where the vehicle maintenance information is entered. First enter the vehicle number. If the number entered doesn't exist a message will direct you to enter the vehicle first. Leaving the vehicle number blank will exit the data entry screen. The data entry screen for maintenance is self explanatory - repair date, cost of repairs and a narrative field to discuss the type of repairs made. Pressing F10 will display a list of the investment types. Typical of these types are MF for mutual fund, ST for stock, RE for real estate. If none of the types listed fit your particular need you can add one. HomeData will check your entry against existing investment types. If it does not find a match it will ask if you want to add it. An affirmative answer will add it to the list. Investment Name. This is the name of the stock, mutual fund or other investment types. Examples: Energy Fund, IBM stock, 123 Main St.(a real estate investment), Winter Oil by Rembrandt (a painting). Account Number. If an account number has been assigned enter it here otherwise leave this empty by just pressing the Enter key. Date of transaction. Enter the date of the purchase or sale of this item. Acquired/Sold. If the investment was purchased enter a "Y" for yes. If, however, it was sold enter a "N" for no. Type Acquisition - Dividend. If the purchase was by reinvesting dividends and capital gains, two records must be entered - one for dividend and the other for capital gain. Enter a "T" for one or the other but not both. If a "T" (for true) is entered the capital gains is bypassed. Enter a "F" (for false) for dividend to be able to enter capital gains. Number in transaction. Enter the number bought or sold in this transaction. Up to three decimals places may be entered. Total Cost. This is the total price paid or received for this transaction. Christmas Card Module Selecting the Add New Family option will bring up the ADD TO CHRISTMAS CARD LIST screen. Leaving the last name blank will exit you from this data entry screen. This code allows you the ability to check through several years of data so you may want to record it but it is not necessary. Collection Module When selecting the Add to Collect. for the first time the Collection - Set Up screen will appear asking for the type of your collection (i.e. book collection, slide collection, stamp collection, etc). You will then be offered the opportunity to customize four fields specific to your particular collection. In addition to these four customized fields HomeData has four standard fields. You should not include the four standard fields in the four you will customize. The four standard fields are - date acquired, cost, condition, and description. +----------------------------------------------------------------+ | COLLECTION - SET UP | | Type of Collection: (example train, stamp, coin) _________ | +----------------------------------------------------------------+ Collection - Set Up Screen The first and second customized fields are important. HomeData will use these for indexing or keeping your collection in a particular order. The indexes are used to access the right data when editing or reporting. These two fields should contain the most important attributes of your collection. Example: A book collection would have Title and Author; a baseball card index might have Player and Team, a stamp collection might have Value and Country. +----------------------------------------------------------------+ | You may set up 4 variables for your collection | | Example item, category, publisher, artist | | Variable 1 *:_______________________________________ | | Variable 2 *:________________________ | | Variable 3 :________________________ | | Variable 4 :________________________ | | * Indexes on these two variables | +----------------------------------------------------------------+ Customizing Collection Data Fields In selecting the attributes of your collection note that the first field is 25 characters long. The other three are 15 characters long. So plan to use the first field for the longest attribute. The following is an example of the Collection data entry screen for a book collection. It is recommended that after customizing your collection you enter several records. Then use the edit or the report menu to retrieve the data to see if you liked the way you customized your collection. If you don't like what you did it is possible to change it. This is done by erasing file which HomeData creates with your customization. If you added several hundred and then decided to change you would have to enter all the information for each record over again. Use the DOS erase/delete command and erase the file named "COLLECT.MEM". This can be done as follows: 1. Exit HomeData 2. While at a DOS prompt (C:>) change directory to the Home directory. Type--->CD\HOME 3. Check to see if you are in right directory. Type--->DIR COLLECT.MEM 4. If COLLECT.MEM is listed by this directory request: type--->DEL COLLECT.MEM 5. If COLLECT.MEM was not listed in the directory request repeat step 2 and 3 above. If it still is not listed, possibly you copied HomeData into a directory other than Home. If so substitute the name you used in place of HOME in step 2. Changing Information Inventory Module This option can be used to correct previously entered items. You have moved an item from one room to another or recognized you entered the wrong information. This option can also be used as a simple inquiry to check on a single item without running a report. After selecting the Change Info option from the application menu, a second menu is displayed. This menu provides three editing options - 1)Single item, 2) Alphabetical editing, or 3) editing of Categories. Single item. If you choose to edit a single item, you will be asked to enter the specific item to locate. It is important to enter the item spelled exactly as first entered. Otherwise you will get a message that the item was not found. If the item is in your database a screen nearly identical to the data entry screen will be displayed. A edit menu will be displayed under the data entry screen. +----------------------------------------------------------------+ | (E)dit (D)elete (N)ext (P)rior (Q)uit | +----------------------------------------------------------------+ Edit Menu This edit menu will occur in most modules. Press one of the five letters depending on what you want to do. Pressing an "E" will allow you to change the information on the item displayed above the menu. To delete the displayed item press "D". If there are more than one item press "N" to advance to the next one or "P" to return to a previous item. To quit the edit and return to the main menu press "Q". If you choose to delete a record a message will be displayed before going back to the main menu indicating that the records have been deleted. Alphabetical editing. It is hard to remember exactly how you entered each and every item. Did you enter the item "Table, wood" or "Table" or "Table with 6 chairs"? Selecting the alphabetical option and the letter "T" would get all these plus any other item beginning with "T". The edit menu described and displayed above allows selective editing, deletion, or movement in the database. Editing the inventory categories. Select the third edit option to edit the categories displayed by the F10 key. It may not be necessary to use this unless you misspelled the entry or have decided to change it for some reason. Health Module This option can be used to correct the medical information previously entered. It may also be used as a simple inquiry to check on a single person without running a report. After selecting the Change Info option, a second menu is displayed. This menu provides two editing options - 1) Single Person, and 2) Alphabetical editing. Single Person. If you choose to edit a single person, you will be asked to enter the person's name. It is important to enter the name spelled exactly as first entered. Otherwise you will get a message that the person was not found in the database. If the person is found in your database a screen nearly identical to the data entry screen will be displayed. A edit menu will be displayed under the data entry screen. Alphabetical editing. Selecting this option will allow you go examine all records of persons with names beginning with the same letter. Enter the first letter, example pressing an "H" will get all records for Harry, Harold, etc. Address Book Module Choose the single person change option if you know the person name as previously entered. This option can be used to correct data about a person previously entered. It may also be used as a simple inquiry to check on a single person without running a report. If the name provided is not located a "does not exist in database" message will appear. If you know the person is in the database you either misspelled it or it was entered differently. Use the edit menu to perform the desired action - edit, delete, review the next record, review the prior record or quit. Choose the alphabetical option and indicate the beginning letter of the last name. An alternative to this is to start at the beginning of the file and look at each record. This could take some time especially if you have entered hundreds of persons. The edit menu works exactly as discussed previously. Vehicle Maintenance Module The first edit option will change the basic information about a single vehicle. This would only be necessary if the information was entered incorrectly. It may, however, be used as a inquiry about the vehicle without running a report. The second edit option will allow review and editing of the vehicle's maintenance records. Begin by entering the vehicle number. From the edit menu select what you want to do - edit, delete, examine the next record, move to an earlier record or quit. The edit screen is exactly like the data entry screen. Investment Module Investments may be edited one of three ways. First is by editing a single investment. Enter a investment name. If you entered a valid investment name the edit screen will be brought up with information displayed. This screen is just like the original data entry screen. At the bottom is the Edit Menu as discussed earlier. You may (E)dit, (D)elete, view the (N)ext record, view the (P)rior record or quit. See Adding Data to understand the data element requirements. If the investment is not found select the next method of editing, alphabetical. Entering the first letter of the investment will bring up all investments beginning with that letter. The third way is to edit by investment types, i.e. all mutual funds. The Changing Information menu also permits the editing of investment types. This is necessary only if you want to change one or delete one from list. Entering the investment type code allows the description to be edited. A edit menu is present with same choices as in other editing. Christmas Card Module As with the other modules there are several ways to edit and change information. The first way in the Christmas Card module is to edit via the individual code assigned by HomeData. Don't despair though if you have forgotten this number. If the number is not known then just enter the person's name. +----------------------------------------------------------------+ | To Edit: either enter individual code, if known, or name | | Code:____ Last Name: ___________________ First:________________| +----------------------------------------------------------------+ Christmas Edit Request A second way to edit is to select the alphabetical option and enter the first letter of the last name to be edited. The first person with this letter is displayed with the edit menu below the data screen. Press "N" (next) until the person you want to edit appears. The Update Sent/Rcd option allows a way to enter your entire list for a specific year without having to bring up each person/family record and make the change. Select this option and enter the code, if known, or the person's name and answer the questions - year, received from, or sent to. This option will save several key strokes for changing each person. As with other data entry, leaving the code and last name blank will exit this edit screen. Collection Module If you try to edit your collection prior to customizing your collection an error message will occur "Use Add item FIRST". The edit options will be displayed with your first two field names displayed. The first option allows you to change information for a single item using the first variable defined. Remember this was the longest field and the search item must be entered exactly as first entered. This will be hard to duplicate. Don't despair as you can use the third option to edit by giving the first letter of the item. The second editing option will search for an item based on your second variable. Reports Inventory Module There are four reports available in the inventory module. Your inventory can be summarized by room, by category or a alphabetical listing. Be sure your printer is on. Highlight the type of report desired and press the Enter key. A copy of each of these reports should be kept in your safe deposit box should a fire or theft occur. These reports can be used to verify your ownership with your insurance company. Data, such as make, model, and serial number, will be helpful to the police if a theft has occurred. Health Module Two reports are available in the Health Module. First is a summary report for a single person. After designating the person all health situations recorded in the database will be grouped by immunization, surgery, disease, etc. The second report is a Shot (immunization) Record for a family member. Be sure your printer is on before activating the report menu. Address Book Module Two reports and two label options are available. The first option is for a complete alphabetical listing of all persons entered in the database. Option two allows you to print address labels for each person in the address book. You may use three different types of address labels: One label across - 3 1/2" x 15/16" Two labels across - 3 1/2" x 15/16" Three labels across - 2 1/2" x 15/16" When printing address labels be sure your printer is on and the labels aligned. HomeData will print two lines of test labels to be sure your labels are aligned. The printer will pause while you adjust them. After adjusting them press any key to have the labels printed. The second report is a listing of persons by your personalized code. If you have a code "C" for Church, entering a "C" when asked for the "Code for List?". This will list everyone in your database that has a "C" in this code. Run this report again for other codes. The second address label will print address labels for a specific code. Again enter your personalized code. If "C" was entered address labels for everyone person in the database with a "C" in the code will appear on an address label. Vehicle Maintenance Module There are two reports in this module. The first is a complete summary for a particular vehicle. Enter the vehicle number and a report summarizing the basic information and maintenance records will be printed. The second report is a similar report but for all vehicles. Investment Module There are four reports available in this module. The first is a complete summary for one specific investment. After entering the investment a account number will be displayed. If it is correct, confirm it, otherwise enter the account number so HomeData can summarize the investment in a single account. The second report is a summary by investment type, i.e. all mutual funds, all stock, all real estate. The third report is a annual summary for all investment for a single year. And the last report is a summary of all data entered in HomeData. Christmas Card Module There are three report/label options available for the Christmas Card Module. First is a list of persons you sent cards to, while the second report is a list of those persons you received cards from. The last option is the printing of labels for those persons you will be sending cards to. After selecting either of the two lists, reports one and two, you must enter the year the report is to cover. This allows you to check back several years. Be sure your printer is on. Labels will be printed either 1, 2, or 3 across. Select the label type and have your printer on with labels aligned. HomeData will test print two lines after which you can readjust the labels. Collection Module There are two reports for this module. The first report is an alphabetical listing by the first variable, while the second report is an alphabetical listing by the second variable. If you were customizing a book collection and choose Title for variable 1 and Author for variable 2. The first report would be a listing of titles in alphabetical order. The second report would be a listing of authors in alphabetical order. Inquiry Address Book Module A special inquiry is available in the Address Module. Often a person only wants to know someone's telephone number. Selecting this option and entering their name will display their home and work telephone numbers. File Maintenance Index All Files There may be times when are wanting to edit an item. However something different is displayed. Or you get an error message that the item was not found and you are positive it has been entered. Or you print a report but only a few items are printed. Or the report is completely blank except for the headings. In these incidents the index may have become corrupted. Should this occur you should reindex the files. The indexing option of the File Maintenance menu has several options. You can index All Applications at one time or you can select the particular modules you are having problems with. It this doesn't correct your problem the actual data may have become corrupt. See Backup and Restore sections immediately following. If the on-line HELP become corrupted the only way to index HELP is to select All Applications. Backup of Data Files It is highly recommended that you backup your data files on regular basis. You should backup data after every data entry session. If the situations explained above in the index all files section occurs and the reindexing doesn't correct your problem it is quite possible that the data itself has become corrupted. You are saved from having to reenter your entire data file if you have a backup file. Highlight Backup and press the Enter key. HomeData will display a list of all modules and All Applications. Select the module (or all modules) and press the Enter key. Be sure you have your Backup Disk in your default (primary) drive. HomeData will prompt you to place your disk in the drive. It is recommended you have a backup disk for each module. A message will be displayed indicating that the backup is taking place. Restore from Backup Restoring data is just the opposite of backing the data up. Restore takes data from your backup disk and restores in on your hard drive in the Home directory. As with indexing and Backup you will be given the option to restore all files or those from a single module. After highlighting the module you will be asked "Are you Sure? Data on Drive C" will be replace data here! (Y?N)". If your data on your hard drive has become corrupted you want to do this so answer "Y". If, however, you selected this by mistake, press "N" to return to the File Maintenance menu. If you restore data you must reindex the files, otherwise you are using the old indexes. Change Colors Select this option off the File Maintenance menu to change the color. The current color selection is displayed for Text and Background. You may change to any of the colors displayed in the lower half of the screen. The changes will take place upon completing the last color. You may modify four colors - menu colors, the data input colors, the display of old data and message prompts. If you don't like the colors you changed then change again.
