Best of all, SPAudit has been provided free of charge by the Software Publishers Association (SPA). SPAudit is designed to help you create an inventory of all your commercial software programs, an essential first step of a software audit. A software audit is one way to ensure that the software programs resident on any computer systems are authorized copies. Members of the SPA have provided information that enables SPAudit to identify over 625 software programs. Of course, SPAudit will not tell you whether the programs identified are authorized or unauthorized copies. Review of purchase records, license agreements and other information will be necessary in order to make that determination. If upon completion of a software audit you discover that any programs are unauthorized, SPA simply requests that you destroy them and secure authorized copies. Getting Started: 1. After booting your computer in the normal fashion, look for the DOS prompt "C>" (NOTE: Some computers boot directly to a menu screen - in this event, you must exit the menu program and get to the DOS prompt). 2. Prior to executing SPAudit, you should verify that there are only three original program files on the disk. These original program files are: (1) SPAudit.Exe; (2) Pif.Txt; and (3) README. If there are any other files, including ones created by SPAudit during execution, and which may have been left on the disk from a previous use, they should be removed. Failure to remove these files prior to execution of SPAudit may result in false readings. 3. Insert SPAudit in the "A" drive. If your computer has more than just "C" and "D" drives, type A:SPAudit [action] [drive letter]. [action] indicates action to take; "+" means include, and "-" means exclude from an observation. [drive letter] indicates the drive to be acted on. Example: A:SPAudit -C -D +F will cause SPAudit to ignore the contents of drives C: and D: and only look at the contents of the F: drive. 4. From the "C>" prompt, type in the command: A:SPAudit ENTER Please begin by reading the license screen. If you agree to the conditions of the license, press any key to continue. If you do not agree to the conditions, press escape and abort the program. 5. Use the arrow Key to be sure the highlight bar is on Collect Information. Then press Enter. 6. SPAudit will ask you to identify the computer you wish to audit. At the prompt, you may enter any eleven (11) characters, e.g., phone extension, persons name, or a Computer ID, etc. You may wish to keep the identity of the computer fastened to the front of the computer for future reference. 7. SPAudit will now read the computer's "C" and "D" drives. If you have other drives you want to read, please refer the the "README" file on the SPAudit disk. 8. When SPAudit completes its review of the "C" and "D" drives, it will display the number of matching files found. This number represents programs on the computer that match file names supplied by SPA members as a means of identifying their copyrighted products. 9. SPAudit will automatically place the highlight bar on QUIT. Press ENTER. 10. Remove the SPAudit disk from the "A" drive and repeat the same procedures (Steps 3 through 9 above) with the other computers in your organization. 11. After all computers have been examined by SPAudit, use the arrow keys to move the highlight bar to the PRINT RECORD command and press ENTER. Note: The report generated by the PRINT RECORD command will show a total for all computers SPAudit has examined. IF you want to see what is on any individual computer, you should execute the PRINT RECORD command after SPAudit has examined the drives of that individual computer. Reread step 3 above and make sure the disk you are using contains only the three original program files. 12. If you want the report printed to the screen instead of a printer, type in the name FILESPEC when prompted to to do so. This will create a FILESPEC file, which can then be read using your favorite utility or the DOS "TYPE" command. 13. Compare the report produced by SPAudit with purchase records original disks, documentation, license agreements and other proof of purchase for each of the programs listed. Any program that can not be traced in some reasonable fashion should be considered an unauthorized copy. Unauthorized copies of software should be destroyed and replaced with authorized copies. ADVANCED USERS GUIDE: Although SPAudit was designed to cover most major business application programs, you may wish to add additional programs to the product identifier list. This can be done by highlighting the MAINTAIN USER PRODUCT LIST command in the main menu and pressing ENTER. SPAudit will then allow you to enter additional product identifiers. The product identifier you add must be a file name unique to the program you want to include. Any individual product identifier can have up to eight letters in its name and three letters in its extension. Care must be taken not to use the same file name for more than one program. If the same file name is used more than once, SPAudit may produce a false number of positive identifications. To learn if the product identifier you would like to add is already in use within SPAudit, use you favorite utility or the DOS "TYPE" command to check your chosen identifier against those in the "pif.txt" file on your SPAudit disk. CONCLUSION: When you are an authorized user of a software program, you enjoy the benefits not available to those who rely on pirated copies. Licensed users of software receive documentation, customer support, and information about upgrades and updates. Moreover, it is easier for companies to maintain the integrity and security of their computers systems when only authorized copies of software are used. EVERYONE WINS. HELP US HELP YOU: SPAudit can identify more than 625 of the most common software applications used in business. Since SPAudit looks for products based on file names, errors can occur when two products share a common file name. Users may also have changed their file names, a situation over which we have no control. Further, many products have subsidiary files which have the same identifier as other products. Since we cannot know all of the subsidiary files of the products for which will search, mistaken identities are possible. We need your help. If SPAudit identifies products you are certain do not exist on your computer system, please drop us a note or call us with information about the apparent duplication of file names. We will make every effort to correct the problem in the next version. Thank you. Please send your note to: SPAudit 1101 Connecticut Avenue, N.W.
