Your H.R. Dept. may include any special KSAs they want all candidates to fill out. e.g. E.E.O. information, regarding Race, Creed, Color, Sex, etc. Or they may have a few questions that only certain positions need to answer, e.g. ABC-Generic Airways wants it pilot applicants to include special KSA's like Hours in Canard Craft, Hr's IFR, Hr's VFR, Hours Jet, Hours Multiple Prop, etc. It wants its Flight attendant applications to include: Height, weight, CPR certification, etc. Have your H.R. Dept. decide whether the KSA will take up 70 chars or 240. Remember that only 240 wide KSAs allow for "continued" answers. One can continue as long as one wants. All your applicants have to do here is to number their answers sequentially in the KSA_Long ID_Num field, & not start any of their answers out w. the string "I Have", since the questions must all start out that way. If your H.R. Depts. question can fit in the 70 wide KSA file, that is the most space saving & more rapid sort place to put it. Remember that yes or no answers & even multiple choice answers can be placed in the 5 char wide alpha field labeled ANSWER immediately below the KSA, (see sample KSAs, by taking KSAs_Standard off the main menu, then choosing either 70 wide or 240 wide, which ever is most appropriate. You will want to copy the KSA to both the personal & Standard files. That way, since it is in the personal KSA file, it saves the applicant from looking it up from among the 1000's of other Standardized KSA's & selecting it to copy down to his personal set. You will want to include your H.R. Dept's KSA in the Standardized set, too, however, in case the applicant deletes it in his personal file by accident, & decides he wants it back. He can then simply F6 search for it in the Standardized KSA file, & F7 copy it to his personal file. How does your H.R. dept. get the special KSAs to all applicants? You could key them in & distribute them w. the UJA, so that new applicants who had never filled out a UJA before would automatically see your special KSAs after the sample KSAs. To get your H.R. Dept's Special KSAs to those applicants who have already filled out a UJA, simply put your Special KSAs in the KSA_EXP.TXT file (=export file for the 70 wide's), & in the KSA_EXPL.txt file (for the 240 wide's). These files can then be auto imported into the applicants job app. by menu option. You must have your information in the correct format in these .txt files. The easiest way to do that is to key in your Special KSAs using the PERSONAL KSAs Menu Option, then , EDIT KSAs. When finished, take the export option, then put this txt file out on your BBS (or internet server) for applicants to retrieve & incorporate into their existing UJAs. Since our package is shareware, we wouldn't mind a bit if you put the entire package on your BBS w. your special KSAs included, for new applicants who have never filled out a UJA. You can retrieve the KSA_EXP.txt file into your windows notepad, or WRITE & observe the comma delimited format. Then you could key in your KSAs in those editors as long as you follow the format exactly. Paradox 3.5 is a bit awkward when it comes to editing long fields (hitting Ctrl F for field edit, & then ENTER to end, etc.). We hope that giving you the flexibility to add your own Special KSAs, in a databaseable (machine searchable, & sortable format) will make this an enduring & powerful job app. package that your corporation might consider standardizing on. The sooner those old paper resumes & job applications are replaced, the better for everyone. FJK, Pres./ UPSC
