These steps *must* be followed, in order, for the existing data files to properly be configured for this new product. We recommend that you print a copy of this UPGRADE.TXT file, so that you can refer to it through each step of the upgrade process. STEP 1 - Install the new product into it's own subdirectory. Do NOT install this product into the same subdirectory that currently contains your existing PRL program and data files. STEP 2 - Before you actually launch this new program, you need to copy all of your existing data files into the new \PROCARR subdirectory. Assuming that your existing data files reside in a subdirectory called \PRL on your C: drive, you would issue the following DOS command: COPY C:\PRL\*.DBF C:\PROCARR This will select all files with a .DBF extention, and will copy them from the C:\PRL subdirectory to the C:\PROCARR subdirectory. STEP 3 - Switch to the \PROCARR subdirectory, and launch the new program by issuing the command PROCARR U . This will launch the program for the first time, and it will then build its index files based on the previously created data files. STEP 4 - Once the program has indexed itself, you must Exit the program, without doing anything else. STEP 5 - USING THE POP.EXE DATA CONVERSION UTILITY -------------------------------------------------- We have included a very basic conversion utility, called POP.EXE, with this program. This utility will attempt to covert your existing data files so that the information conforms with the new field structure. The PRL program contained only 1 field for the customer name, and did not contain any address fields for City/State/Zip Code. This utility will attempt to reformat your existing data so that it conforms to the new program. When you launch the POP utility, you will have 4 options. The first 3 options are in regard to how your *existing* data files are currently configured (i.e. if you have your customer names in "LastName, FirstName" format, in "FirstName LastName" format, or if your existing customername field contains only the customer's LastName). You should select the appropriate option based on how your existing data is structured, and the utility will then attempt to convert the existing single customername field into seperate FirstName and LastName fields. Be aware, however, that this utility is somewhat limited in strength, and even after using it, you may need to manually edit some of your customers. For example, if you have used any name prefixes (i.e. Dr, Mr, Mrs, etc), or if you have used any name suffixes (i.e. Jr, Sr, II, III, etc), the utility may not reconfigure those listings properly. The utility will also not remove commas from the names. For example, if you have a customer listed as "Mr Richard Holler", the utility will convert "Mr" as the first name, and "Richard Holler" as the last name. Be sure to check all of your listings after using this utility. Similarly, if you have a customer listed as "Holler, Richard" the utility will properly convert the names, but it will not remove the "," comma character from the new LastName field. The 4th option on the menu will allow you to populate the new City, State, and Zip Code fields. However, this option will populate *ALL* customer listings with the city, state, and zip code that you enter. In other words, it doesn't allow for entering multiple cities - if your routes include more than 1 city, state, and zip code, you should select the most common 1 for this option, and then manually go into your records and change the individual listings for those customers in other cities. Once you are done with the various conversions, you must Exit the POP utility. At that time, you are ready to begin using the new program.
