Simple and straight forward menuing software allows you to add or update records in the system using arrow keys and function keys to all the features of the system. Many standard reports are provided in different sequences to list items from the files. We have also included in the software a Free Form Report generator which will allow you to design, run and save your own reports. Features ======== - Simple to use pull down menus and pop-up windows - Context sensitive help available on all screens - Organize Music collections - Organize Video collections - Maintain accurate information about your audio and videl equipment - Record information about your local radio stations - Each album can contain an many songs (tracks) as needed as the only limitation is the size of your hard drive. - Up to 16 million entries can be entered into each of the databases. - Up to 64000 characters of information can be recorded for each song. Wh have provided this feature for those users whold like to store additional information such as all the musicians who played the song or the words in the song. - Locating records is easy using the menus. - Print options allow you to print on any printer that may be available. Provided standard are the printer setups for HP, IBM and several others. - Many standard reports are provided. Installation ============ Please see the accompanying documentation for complete installation instructions. System Requirements =================== MS/DOS or PC/DOS 3.1 or higher At least 1mb minimum hard disk space. Actual amount will depend on the size of the various collections. Any standard printer including HP laser. One floppy drive either 3 1/2 or 5 1/4 any density. Limitations =========== There are no real limitations in this software. You may store as much information as you like and are only limited by the amount of hard disk space you have. Each of the Files may contain a maximum of 16 million records which should be plenty for most users (were sorry that those users with over 16 million albums will not be able to use this software). In this version only the Free Form report generator may print to a network (Novell) printer. If you would like full network (Novell) support contact us for special pricing. Initial SignOn ============== The first time you start up the Music and Video Librarian it will ask you for your registered name. Please enter your name as it will be used on screens and reports. After several seconds (depending on the speed of your machine) you will see the welcome screen. Press enter 2 times and the menus will appear at the top of the screen. Browsing The Files ================== As you begin to add records to the various files the software will automatically put you into a browse mode (when there is at least one record). Using the [PGUP] and [PGDN] keys you can move a full screen at a time (about 16 records), and using [Alt PGUP] or [Alt PGDN] you can move to the first record or last record in the file. When you have found the record you would like to view or change (indicated by highlighting) press the enter key. The record will now be displayed. Also note at the bottom of the screen there is a field used for searching. If you have a large file you can use this field to position the highlighted item to a range of records. For example if you are in the MUSIC file and have used the select key (see below) for Title of Album and you are looking for "Long Distance Voyager" then enter into this field "Lon" or "Long" or" Long D" and the highlighted item will be the first item. You can use this feature to move quickly through the files. If you would like to view records in a different order press the [F10] key and a small menu will appear at the lower right hand corner of the screen giving you the choices for the file you are browsing. To delete a Album record ALL of the Album Songs must be deleted from the Album Song file. TO RETURN TO PREVIOUS SCREEN Press until a pop-up appears and asks you if you want to EXIT. Pressing from any screen in the program will get you back to the previous screen. To exit ir quit the program press until you are prompted to exit the program. Selecting this menu option brings up a browse window. If the file is empty, you will automatically be put into a screen for adding your first record. But let's start with the browse window. You only see the first couple of fields when it comes up. By pressing the Arrow keys you can move to the right, left, down, or up in order to see all the records and fields in your databases. Page up, down, home , and end will also move you through the window. While in the Browse you can change the order your data is presented in (we call this indexing). Press F10 to see a pop-up of the indexes available. Use the arrow keys to highlight the one you want and press . You can use the arrow keys to move to the field containing the index condition before or after you select the new index. Then press . If you only typed in a few letters of the name ('stu', for example), the program will seek the first person whose name starts with 'Stu'. The same hold true for all the indexes. The following fields are contained in the Album database: Album Number ------------ Format: 6 position character field Contents: This field is a mandatory field used to identify each of your albums. There is no specific format for this filed so we suggest that you develop a scheme for numbering your collection. Consider the following example: 1xxxxx Used for rock albums 2xxxxx Used for Jazz albums 3xxxxx Used for all other albums 9xxxxx Used for rare albums where xxxxx is a number staring with 00001 and is incremented by +1 for each album. If the name starts with a word such as "The Best...." then we suggest that you code the title as "Best...., The" so that when you product reports by title they will be ordered properly. Artist or Group --------------- Format: 40 position character field Contents: Enter either the primary artist of the group who performed this album. Album Media ----------- Format: 12 position character field Contents: Enter the album media for this album. Pressing enter is this field will pop up a menu of default media's that you can select from by moving the up and down arrow keys. When you find the media you desire press enter and it will be placed into the field for you. Pressing enter is this field will pop up a menu of default categories that you can select from by moving the up and down arrow keys. When you find the catageory you desire press enter and it will be placed into the field for you. The following categories came as default with the software: ROCK JAZZ FUSION POPULAR NEW WAVE CLASSICAL SOUND TRACK COUNTRY VINTAGE You can add additional entries either by entering the new category in this field or by using the TABLES menu and selecting CATEGORY. Date Purchased -------------- Format: 8 position date field Contents: Enter the date you purchased this album in the format of MM/DD/YY. Example 08/15/93. Example 14.95. You do not need to enter the dollar ($) sign. Album Label ----------- Format: 20 position character field Contents: Enter the recording label as it appears on the label of the album. Album Identification -------------------- Format: 10 position character field Contents: This field is used to record the manufactures album identification number. Year Released ------------- Format: 4 position numeric field Contents: The year the album was released. Do not confuse the year with the copyright year as they may be different. Track Title ----------- Format: 30 position character field Contents: The full title of the song for this track. The next field is used to record the seconds. Track seconds ------------- Format: 2 position numreic field Contents: The number of partial seconds for the song or track. The material that you record can be about any type of videos. A number of standard reports are provided to list out information from the videos file. If you do not like the format of the reports we have supplied you can design your own using the free format report generator described elsewhere in this manual. TO RETURN TO PREVIOUS SCREEN Press until a pop-up appears and asks you if you want to EXIT. Pressing from any screen in the program will get you back to the previous screen. To exit ir quit the program press until you are prompted to exit the program. Selecting this menu option brings up a browse window. Tape No ------- Format: 6 Character numeric field Contents: This field is used to contain a reference tape number that is used for identification of tapes. You should place a sticker on the outside of the tape with this number and file the tapes in sequence. Which ever you use will bring the same results. Color/BW -------- Format: 1 position character field (free form) Contents: This field is used to distinguish between color and black and white videos. Based on the printer configuration you select, an effort will be made to print one record per line by switching between print sizes and types. If you find that you have lost some records (maybe you turned off your machine or had a power failure) then this function can be used to rebuild all the indexes in the system. This function will also optimize disk space by unused space from the files (when records are deleted the disk space that they occupy does not go away) If any of the following situations occur then it is time to sort the files: It appears that records seem to be missing from one or more files. You have been deleting a lot of records. You have been changing a lot of records. This process should only take a few minutes depending on the size (number of recrods) of your files. You will see messages indicating progress as the sorting is processing. For example, if you go to the inventory screen and either view a record or add a new record you will see that fields that you must enter data into are in reverse video. Four standard configurations come standard with the product The Printer Setup Utility is used by both the Free Form Report generator and reports that need more than 80 characters to print, such as the wide reports. The Printer Setup Utility is selected directly from the submenu of MISC. When you are ready to use this function, highlight PRINTER SETUP, then press [enter]. Once selected, the list of printer configurations will appear. The software uses three different setup strings to determine how to lay out lines of text before the actual printing begins. These strings also determine when a page is full and when to skip to the next page, and finally what codes (escape sequences) need to be sent to the printer also. The software will automatically select the proper setup string and page size that best fits the report. If one line of the report will fit in the width specified by WIDTH 1, the level 1 Setup String will be used. If the line of the report is too wide for the level 1 Width, but less than or equal to the Level 2 Width, the Level 2 Setup String will be used. If the line of the report is too wide for the level 2 Width, but less than or equal to the Level 3 Width, the Level 3 Setup String will be used. If the report is still too wide, the software will utilize more than one line on the page per printed record printed, and will print on each line as many fields as will fit without breaking, Page 56 Music & Video Librarian V 3.8 ====================================================================== and then will wrap to the next line. If a line has to wrap to the next line, the software will adjust the number of lines per page to compensate for the fact that fewer records will fit on a page. You can force the software to use the same Setup String, Width and Line all the time by setting all three levels to the same value. This is a good idea when you are using 80 column paper in a 130 column printer. Printer Setup Strings ===================== To follow along with this example, you need to select the printer with the configuration ID of "HP", printer name "Hewlett Packard Laser Jet II" from the list of printer configurations. Once selected, read the following explanation of the Level 1, Level 2, Level 3, Width and Length Fields. Notice the /027 in each of the Setup Strings and the Reset String. Anytime you want to include a character in a string that cannot be entered through the keyboard, you can enter a backslash followed by the character's ASCII value. You MUST use three positions for the ASCII value even if is is less than 100. On a Hewlett Packard Laser Printer, the Escape key, which acts as a control character, has an ASCII value of 27. /027 was entered because three positions need to be filled. This value (/027) tells the printer that the text to follow is not to be printed, but is to interpreted as configuration information The Level 1 Setup String tells the software to set the printer to Courier font, that 80 characters will fit on one line and that no more than 55 lines of the page will be used. The Level 2 Setup String tells the software to switch to the 16.6 characters per inch Pica font and that 130 characters will fit on one line. The Level 3 Setup String tells the software to remain at 16.6 characters per inch, but to switch to Landscape (sideways) printing. Now, 170 characters will fit on one line (Width = 170) and the page length will be reduced (Length = 40). When you want to print a report you simply add the configuration ID number that corresponds to the printer that you will be used to print the report. Printer Name ------------ Format: 30 position character field Contents: Used this field to enter a brief description of the printer that this configuration will be set for. The easiest description in the brand and type of printer. If there are several printers that are the same brand and type, you need an additional identifier such as a number or letter appended to this field. ALSO, if more than one configuration will be set up for the SAME printer, it is advisable that the description entered be such that it will be easy to identify the features the individual configurations have. Network Printer Number ---------------------- Format: 1 position numeric field Contents: This field is the printer that all reports with this configuration should be routed to. If the software is running on a Novell network, this number would correspond to the network-assigned printer number, where the first network printer is number 1, the second network printer is number 2 and so on. If the software will be running on a stand-alone PC, or if the reports with this configuration are to be routed to a printer connected to the first parallel printer port on the PC, the Network Printer Number should be set to 0 (zero). When you want to print a report you simply add the configuration ID number that corresponds to the printer that you will be used to print the report. Printer Name ------------ Format: 30 position character field Contents: Used this field to enter a brief description of the printer that this configuration will be set for. The easiest description in the brand and type of printer. If there are several printers that are the same brand and type, you need an additional identifier such as a number or letter appended to this field. ALSO, if more than one configuration will be set up for the SAME printer, it is advisable that the description entered be such that it will be easy to identify the features the individual configurations have.
