The program generates listings, labels and transmittal letters merged with business records. Yellow Disk Plus has many features allowing fast data entry, and searching. The program manages 6 computer files: 1.) SUBBOOK.MA2 - contains the names, addresses, phone numbers, points of contact, a maximum of 10 different work activity types, sales data, no. of employees, 25 Y/N fields based on business type, and 20 memo addresses. 2.) MEMOFILE.DAT - contains the memos attached to business file records. A maximum of 200 memo lines may be used. 3.) TRADCODE.DAT - contains the trade codes and the corresponding code descriptions. 4.) TRANSMIT.DAT - contains 25 blank transmittal letters. This letter is then merged with the business data to send the letter to multiple businesses. 4.) ZIPS.DAT - contains City, State, and Phone Area codes 3300 USA cities (15,000 zips). To execute a main menu function, enter the first letter of the menu item desired or using the up and down arrow keys, highlight the selection and press the enter key. Help Messages are available at most screens by entering the F1 key and scrolling through the message. We suggest you begin use of the program by viewing the help screens. The reorder function sorts the main address file alphabetically. The display function locates and displays the names of Businesses performing the work item requested. Print displays an assortment of printed listings from which to select. Reports Menu Help The menu contains a selection of 8 report choices. 1 - Prints a listing of businesses sorted by trade codes. A business may appear several times on this report. 2 - Prints a listing of businesses sorted alphabeti- cally. 3 - Prints a business name and phone number listing in a phone book format. 4 - Prints a form containing all businesses of a single trade code. 5 - Prints a transmittal form addressed to all the businesses of a single trade code. 6 - Prints a list describing all trade codes. 7 - Prints a blank input sheet, handy when writing down new businesses to be entered later. 8 - Prints multiple mailing labels. (laser & dot matrix printers) To execute any function, please enter the report number or using the up and down arrow keys, highlight the report number and press the enter key. If you are not getting the results you expect try changing the printer type. Use the Files/Default option from the main menu. The display function is an easy four step process: 1. Creating or updating the Trade Index File 2. Selecting a search code and searching the data 3. Displaying the search results 4. Jumping into and out of the data for detailed information on the search results. Creating the Trade Index File The Trade Index File is automatically created after sorting the business records. After entering new records or editing trade codes on existing records you may want to re-index the file without sorting. To re-index the file press the F8 key. By using this index file, the display function can quickly find and display all records having the trade code requested. 2.) Search Code Entry: You may enter the trade code or any portion of the trade code at the prompt. Alternately, scrolling the trade codes under the highlight bar, by using the arrow keys and then pressing enter(carriage return) you will have selected the highlighted trade. The F6(search), and F7(continue search) functions are also available to locate trade codes or descriptions. After the trade code is entered, the program then quickly searches the business index file and displays businesses with matching trade codes. Pressing the escape key returns to the main menu. 3.) Display Matches The match display screen is a central point from which you jump into and out of the data. Entering a business number, shown on the left side of the screen, will allow you to jump into the data. Pressing the escape key will return you the search code entry screen. 4.) Business Editor Upon "jumping" into the business editor, the business record you requested will be displayed. All the features of the editor are available. For help information about the business editor press the F1 key. Escaping from the business editor or "jumping out" will return you to the display matches screen. A printed version of the business data broken down by trade codes is available using report #1 at the reports menu. Searching records for words or phrases. Copying a business record and memos. To use the menu, use the left and right arrow keys to highlight your selection and press the enter key (Carr Rtrn). A menu item also may be selected by pressing the capitalized letter of the selection. While in the Business Record Editor the following Control Keys are active for your use. The menu keystrokes are given below the single keystroke definition when available. ESC - Returns to Main Menu. INS - Creates a NEW Business Record @ End of File. DEL - Delete current Record. PGUP - Saves the current record and then display the record above the current record. PGDN - Saves the current record and then display the record below the current record. F1 - Display Help Message. Up/Down Page Up/Down /Helptxt Home and End Keys are active to view message. When the following cell types are highlighted; 1)phone types, 2)position types, 3)sales, 4)no. # employee cells, or 5)any of the user defined categories, and F1 is pressed, the help routines display current code values. When one of the 10 trade codes is highlighted, pressing the F1 function key displays trade code descriptions. See the F8 message below for additional info on trade code help. F2 - Edit Highlighted Cell of Data. This is the main command you will use to modify existing data. You can type right into an empty data cell. F3 - Look up the zip code for the city entered. /Ziplkup Alternately, by leaving the city and state fields blank and entering the zip code, the program will search for and insert the city, state and phone area code. Press Control-F3 to turn zip code look up off, press again to turn on. ALT F3 - Dial Phone Number Using Modem. /Dialtel CntrlF3 - Turns ZipCode Lookup Feature On & OFF. F4 - Capitalize the highlighted cell. /Capcell The capitalize function capitalizes the following: Any letter following [ ][,][>][-][.][/][#][0-9][&] The abrevs.: PO, St, Th, Nd, Rd The third letter of names beginning with Mc The words: of, and, are not capitalized. When entering data, the cell is capitalized. The F2 function does not capitalize the edited cell. ALT F4 - UNDO function replaces the displayed record with the /Undorec contents of the record before editing. When errors have been input you may undo your mistake using this function. The UNDO Label at Bottom of Screen indicates when this function is available. Cntrl F4- Find Phone Area Code or State when given the Area Code. F5 - Go To Record #, You may enter the number of the record you want to jump to. Pressing; F5, Home will move to the first record. Pressing; F5, End will move to last record. F6 - Enter Search Item. This Feature is a two step /Findtxt process, first highlight the cell type you are searching, then press F6 and enter the search text you want to find. The program will then search all records following the one currently displayed. Start the search at the first record, to search the entire file. Name search - the business file is sorted and stored by business name. The name search will very quickly find any business name provided the file has been recently sorted. If a name match is not found by this method the programs pauses and asks if you want a record by record search. Search of all other cell types is one record at a time. Searching the following cells types will also search the equivalent cells: Phone No.(1-3),Phone Type(1-3), Contact (1-3), Postn (1-3), or Trade Codes (1-10). Starting the search on a record after the record being sought. The search begins at the current record and searches all following records until a match is found or the end of file is reached. The routine is designed this way so you can jump to a record close by (using F5) and search from that point, or you can jump to record 1 and search the entire file. Press the escape key to end a search while processing. ALT F6 - Advanced Search, using the same record limit routine of the print functions, you may specify multiple search parameters. The search begins with record 1. This option is not listed on the menu. Unlike the F6 search, the highlight bar position does not matter. F7 - Continues the F6 Search Request (find next match.) /Nxtfind To locate the next match in the file without re- entering the F6 search information, press F7. ALT F7 - Continue Advanced Search will find the next record in the file meeting the search criteria entered with ALTF6. You may use the F5 function to jump around the file. AF7 will continue the search from the current record. This option is not listed on the menu. F8 - Display Trade Codes lists current discriptions of entered trade codes. Bottom of display allows you to browse the Trade codes, use the up-down-pg up- pg dwn-home-end keys to view file. Use the F6 & F7 function keys to search for trade code or descriptions. Use the C key to copy a trade code from the browse area to the next empty trade code cell. When a trade code is highlighted pressing F8 or F1 is the same. F9 - The mini-print menu is the way to print the current /Prtmenu record in several formats. F10 - Decode and Display Sales and Employee information. /RecDupl Record duplication copies any existing record, and replaces the current record. The duplication will not copy the memo's attached to the existing record. Alt M - Display Memo editor, 200 lines of memo space are /Memedit available to store dates and information. The memo editor can arrange items in forward or reverse chronological order. The editor can search for specific phrases, and can copy individual cells of information. The Cursor Keys - Move the highlight bar around screen over the data cells to be edited. When the bar is over a cell you wish to change, simply enter the new data or press F2 to edit the cell. "Cell Editor" is displayed when ever entering new information or the F2 edit key has been pressed. This indicates that the left, right, home, end, delete, tab, and insert keys now work only within the cell. Entering carriage return will return these keys to their original function as listed above. Entering Proper Names: The order in which you enter the business name affects your ability to find the record in the future. We suggest the following: Name examples: John D.>Odell & Associates, Inc. Tracy & Tracy P.C. The greater than sign (">") in the first example points to the character to be used for sorting. The second example name will be sorted using the leftmost character as a guide. The ">" character is removed automatically, when reports are generated. Special Code Definitions: The phone type, position type, sales, and employee quantity codes are user definable. The definitions may be changed 1)using the second page of the default file editor or 2)using the help function(F1) when the cell type is highlighted. Report #1: This report arranges the information by business trade code. First the trade code and definition are printed and then all similar businesses are listed. A single business may be listed in several categories when the business has more than one trade code. You should know the trade codes you want to list before entering this selection. If not, then escape from this section and look them up using the Trade Code Editor selection at the main menu. To enter new data, press INS (insert) and type in the new trade code and press carriage return. The program will move to the description cell automatically. Enter the description followed by a carriage return. To modify existing data, use the page up, page down, up or down arrow keys to move the record under the highlight bar. Use the right or left arrow to select the cell to be edited and press F2. You can now modify the selected cell. Valid Editor Keys: ESC - Save the Trade Code file and return to Main Menu The file is sorted into trade code order before saving. INS - Insert New record in the current location. DEL - Delete the Current Record. A 2nd question will make sure you intend to delete the highlighted record. Note: If the code is used in the business file, after deletion it will then be undefined. PGUP - Move up 10 Records in file PGDN - Move down 10 Records in file. F1 - Displays the help message you are currently reading. Esc will return to the Trade code editor. F2 - Edit the data cell currently highlighted. The tab, right arrow, and left arrow keys now move within the cell. INS key turns the overwrite feature on. When OVR is displayed the data entered will write over the current data. F5 - Go to Record #. Allows you to jump around file. F5,Home moves to beginning of file. F5,End moves to end of the file. F6 - Search the Trade Code File for a code description. F7 - Continue searching for the next match of the F6 search request. F8 - Sort File by Trade Code Description. Alt F8 - Restores the File to Trade Code order after using the F8 function. The File is saved in Trade Code order. Two pages of default value exist. The first page contains information needed to discribe your equipment. The second page allows you to customize some cell titles and define code values. The commands used within this routine are the same as those used elsewhere in the Yellow Disk Plus program. The high- light bar designates the cell your information is to be stored in. The highlight bar is moved from cell to cell by pressing the arrow keys. Text or numbers may be entered into a blank data cell followed by a carriage return. Mistakes may be corrected by use of the F2 edit feature. To edit a cell use the arrow keys to highlight the cell and press the F2 function key. The left and right arrow keys now move within the highlighted cell. The insert key will turn the overwrite indicator on and off. When the indicator is on, the keys you press will write over the existing data. When the indicator is off, data will shift to the right. Available Command Keys: ESC - Saves Default Data and Returns to Main Menu F1 - Displays all HELP Messages F2 - Edit Highlighted Data Field by first pressing F2 key then the existing contents of the cell will be dis- played at the upper left corner of the screen. The left and right arrow keys will now move within the cell and changes can be inserted or deleted. PAGE DN - Move to the Second Default Data Screen. PAGE UP - Move to the First Default Data Screen. Variables: Program Location Drive and Subdirectory - is the disk drive & subdirectory on that drive where the program and data are to be stored. (Default C:\YDPLUS) Restrict Access & Access Code - To use the restrict feature reply Y to turn the feature on and enter an access code. PBX Access Code - Many office phone systems require a special code to dial out. This code is used with the dialer feature. Fed Exprs Account - This number is printed on the Airbill. NEC Pinwriter Setup Strings - you may enter series of 3 digit printer codes to be used with your printer. Use the TTYCRLF printer type and, Refer to your printer manual and appendix B in the Yellow Disk Plus Manual for coding. Yellow Disk Plus Utilities Menu Help: Selecting the Backup item on the utilities menu will allow you to create backups of the address data files on floppy disk. You may select to backup specific records using the same method as when printing. You should backup your data files upon completing any major changes to the data or on a regular interval. Selecting Restore on the utilities menu will allow you to recover the data previously created by the backup function. You may select specific records to restore using the limits routine. You may add records to the existing file using the append function or replace the entire current file. Selecting Defaults item on the utilities menu will display the program defaults input screen. Using the input screen you may set several program features. Selecting the Compact item on the utilities menu will start the duplicate elimination feature. Use of the transmittal letter editor is the method of creating new or modifying existing letters. To create a new letter, press the INS (insert) key and a blank transmittal will be created at the end of the letter file. To modify existing Letters, use the page up or page down keys to display the letter to be modified. The arrow keys now move the highlight bar around the letters data cells. Use the arrow keys to select the cell to be edited and press F2. You will now be able to modify the selected cell. Valid Transmittal Editor Keys: ESC - Save the Transmittal letters and return to Main Menu. INS - Add New Transmittal Letter in the current location. DEL - Delete the Current Letter. Duplicate Elimination: Use of this function will allow the automatic removal of exact duplicates from your data. Near duplicates are displayed and allow you to delete either one of the records. A near duplicate is displayed when: 1.) First 20 characters of the names match. 2.) 20 of 40 Address field characters match. 3.) 11 of 12 Phone Numbers digits match. Pressing either the A or B key will delete the selected record after confirming your delete instruction. By using the F5 jump function you can move anywhere in the file and continue duplicate checking. This is useful when part of the file has previously been checked. The F2 key will allow you to edit any record and will begin by displaying record A or B. All editor functions are available. Pressing any other key, will leave both records intact and move to the next near match. Highlighted items on the right side of the screen indicate the parts of record B that do not match record A. A menu item also may be selected by pressing the capitalized letter of the selection. Pressing / G(etdate) or Alt D combination will copy the current system date into a highlighted date cell. Pressing / S(etdate) or Control D combination will allow you to set the date used by the Alt D function, without changing the current system date. To use the copy function first highlight the cell to be copied from, press / C(opy), then using the down arrow key highlight up to 19 more lines to copy. The memos are now stored in memory. Highlight the Receiving memo cell line and press / I(nsert). The memos will be inserted above the highlighted cell. Using this method, you can copy up to 10 memo lines at a time from one business record to another. Copy will not work if all 200 memo lines are filled. To use the search function press / F(indtxt) or F6, and enter up to 25 characters to be located. If the word/phrase is found it will be highlighted on the screen. To continue searching for the same item press / N(xtfind) or F7, the next match will be highlighted. The compaction routine (duplicate elimination) is designed to automatically eliminate exact record matches and to check for and display near match conditions. Differences between records are highlighted in the right portion of the screen. Two records are considered near duplicates if: 1.) The first 25 characters of the name field match 2.) The first 25 characters of the Address field match 3.) The first 11 digits of the Phone Number match (All 12 digits are not checked because many business phone numbers are different by only the last digit) When the program displays Two nearly matching records, you may: 1.) Press F2 key to edit either record 2.) Press A or B to delete record A or record B 3.) Press any other key to display the next near match. To obtain the maximum duplicate elimination, you need to sort the file first by name and run the compaction routine, then sort the file by address and compact, and finally sort by phone number and compact. You can be assured you will have located and eliminated 99% of all record duplications.
