TITLE: Including Outline Numbering in a Table of Contents PRODUCT: WordPerfect 6.0 for DOS Problem You want to include outline/paragraph numbering while you are marking text for a table of contents. You also want the outline numbers to automatically appear in the generated table of contents. Concept WordPerfect 6.0 for DOS now formats each table of contents entry using the TableofCont system style, which is a paragraph style. Outlines are also being formatted with paragraph styles. In previous versions of WordPerfect, you could place one paired style inside another paired style, but in WordPerfect 6.0 you can not place one paragraph style inside another paragraph style. WordPerfect 6.0 will, however, allow outline numbers and corresponding text to be automatically included in a table of contents if you follow the steps listed below. Solution Steps 1 through 16 create the desired outline style to be used in the document. This outline style will automatically mark outline text (not numbers) for the table of contents. Steps 17 through 23 create an outline style that the table of contents will use. This second outline style (used by the table of contents) will need to have the same numbering method as the first outline style you created in steps 1 through 16. First, create an outline style that specifies the desired numbering method. 1 Choose Outline from the Tools menu. 2 Choose Outline Style, then choose Create. 3 Type a name for the outline style and press Enter. Then choose OK. 4 Choose Numbers. 5 Define the desired numbering method, then press Exit (F7). NOTE: An existing outline style can be used, but new level styles for the existing outline style will still need to be created. See steps 6-16. Next, you need to create new level styles and add Table of Contents Mark Text codes. 6 Choose Level Style from the Edit Outline Style dialog box. 7 With Level 1 highlighted, choose Create. 8 Type ToC Level 1 and press Enter. 9 Choose Show Style Off Codes. 10 Choose Style Contents. 11 Move the cursor to the position immediately after any codes already inserted in the style but before the Comment box. 12 Press Block (Alt+F4, or F12 on expanded keyboards), then press Down Arrow. 13 Press Mark Text (Alt+F5), and choose Table of Contents. 14 Type 1 at the Level prompt and press Enter. The Comment box will now be surrounded by [Mrk Txt ToC] Begin and End codes. 15 Press Exit (F7) to exit the Style Contents box, then choose OK. You will need to repeat steps 6-15 to add the table of contents marks for table of contents levels 2 through 5. The table of contents level should correspond to the outline level, so when you create each new level style, remember to name it according to the appropriate level (ToC Level 1, ToC Level 2, ToC Level 3, and so on). 16 When you have finished this process, press Home and then Exit (F7) to exit back to the document screen. You now need to create the second outline style. 17 Choose Outline from the Tools menu. 18 Choose Outline Style, then choose Create. 19 Type a name for the new outline style, press Enter, then choose OK. 20 Choose Numbers. 21 Define the same numbering method used in the previously created outline style, then press Exit (F7). 22 Choose Numbers Only (No Level Styles). 23 Choose OK, then press F7 to return to the document editing screen. You have now created two outline styles that have the same numbering method. The first one, created in steps 1 through 16, will be used by the document. The second one, created in steps 17 through 23, will be used by the table of contents. Both of these styles now need to be implemented in the document. Now you need to create the table of contents definition mark and implement the previously created outline style (created in steps 17 through 23) in it. 24 Position the cursor where the table of contents will begin. 25 Press Mark Text (Alt+F5). 26 Choose Define, then choose Table of Contents. 27 Choose Number of Levels, then type the number of levels to be used in the table of contents and press Enter. 28 Choose Table of Contents Styles. 29 With level 1 TableofCont1 highlighted, choose Edit. 30 Choose Style Contents. 31 Press Outline (Ctrl+F5) and choose Outline Style. 32 Highlight the second outline style definition you created in steps 17 through 23 and choose Select. 33 Move the cursor to the end of all the codes and press Outline (Ctrl+F5). 34 Choose Insert Outline Level, then type 1. 35 Press Indent (F4). 36 Press Exit (F7) to exit the Style Contents box, then choose OK. Starting with step 29, this process needs to be repeated for the remaining table of contents level styles. Make sure to specify the correct level number when creating Paragraph Number Display codes (Table of Contents Level 2 style should be Level 2 Paragraph Number Display code, and so on). 37 Once this is completed, exit all the way back to the document by pressing Home and then Exit (F7). The second outline style has now been implemented into the table of contents definition and that definition has been placed in the document. The outline style for the document (created in steps 1 through 16) now needs to be implemented in the document. Not only does this outline style code need to be placed in the document, but it is also necessary to place a New Paragraph Number 1 code after this outline style. Both of these codes will be placed in an open style, and that open style will be placed at the top of the document, after the Table of Contents Definition Mark. You now need to create an open style and insert the outline style and New Paragraph Number 1 codes into the style. 38 Press Style (Alt+F8), then choose Create. 39 Type a name for the open style, then press Enter. 40 Choose Style Type. 41 Highlight Open Style and press Enter; then choose OK. 42 Choose Style Contents. 43 Press Outline (Ctrl+F5), then choose Outline Style. 44 Highlight the first outline style created in steps 1 through 16 and choose Select. 45 Press Outline (Ctrl+F5), then choose Set Paragraph Number. 46 Type 1, then press Enter. 47 Press Exit (F7) to exit the Style Contents box, then choose OK. The open style you have just created will appear on the style list. 48 Press Exit (F7) to exit the style list. 49 Move the cursor to where the document begins after the table of contents. A Hard Page Break (Ctrl+Enter) is generally used to separate the table of contents from the document. 50 Press Styles (Alt+F8), then highlight the open style you just created. 51 Choose Select. The only work that now remains is to create the document with its corresponding outline/paragraph numbering. It is not necessary to actually block text and mark it for a table of contents. Text is automatically marked for the table of contents simply by being located after an outline/paragraph number. To generate the document, 1 Press Mark Text (Alt+F5). 2 Select Generate, then choose OK.
