INTRODUCTION - DATA RETRIEVAL. This is documentation for Public Brand Software's distribution set of census information. This distribution set consists of two parts: 1) Documentation, Dictionary, and Program disk. 2) Individual data disks containing information for one or more state. In order to retrieve the files: With a 2-floppy system: 1) Put a blank (formatted) disk in the B: drive - See the inside back cover of the Public Brand Software catalog for preparation information. 2) At the A> prompt, issue the command PKXARC DOCUMENT B: With a hard disk system: 1) Prepare a subdirectory for the data C> MD\NEWDIR (NEWDIR is any name you wish - or pick an existing subdirectory) 2) Go to that new subdirectory C> CD\NEWDIR 3) Issue the command C> A:PKXARC A:DOCUMENT Repeat for DICT.ARC, UTILITY.ARC, and CENSUS.ARC putting these on a disk by themselves. In the CENSUS.ARC file you will find a nifty shareware system developed for Public Brand Software by Clark Trivett. It will let you look at the Census data, prepare reports, and extract selected data for inclusion in Lotus 123 spreadsheets (also AS-EASY-AS - SP7.4 in the Public Brand Software library). The documentation file CENSUS.DOC should be printed out and reviewed before using the program. Note that there is an annoying little process to go through to use CENSUS. You must enter a temporary password everytime it comes up until you send Mr. Trivett his registration fee. Also, the temporary password will only work 15 times before the program will only print an invoice and not process any data anymore. If you do run into an emergency and need more times to run the program you can un-archive the CENSUS.ARC again. With a hard disk, unarchive the DICT.ARC, CENSUS.ARC, and the DATA-XX.ARC for the state or region you are working on. This can all be put in one subdirectory and will only take up 200 to 500 k depending on the state. UTILITY can then be run directly on the data. For more explanation, see below. Now for the good part. The data files on the data disks consist of 73 individual files per state. These have been archived in order to provide information on more than one state on a disk. In order to retrieve the files: With a 2-floppy system: 1) Copy the PKXARC.COM file from this disk and the archived data file from the CE2.0 - CE14.0 disk (DATAxx.ARC) to a new disk. where xx is the abbreviation for the state. (See Catalog notes on last page). 2) Put this new disk in the A: drive. 3) Put a blank (formatted) disk in the B: drive - See the inside back cover of the Public Brand Software catalog for preparation information. 4) At the A> prompt, issue the command PKXARC DATAxx B: where xx is the abbreviation for the state. (See Catalog notes on last page). The data files are obviously not in a form to be printed and this may be dismaying. Please realize that there is one basic reason for the way that the data are provided - the great amount of data. It is not usual that the type of information here can be just printed and used. It will normally be more useful if it is included in a database or spreadsheet to be analyzed. Let us give you some ideas. First of all, the UTILITYC (in UTILITY.ARC) and CENSUS (in CENSUS.ARC) can be used separately or together to rearrange the data into convenient groupings and to prepare data for other programs (notably spreadsheets). Databases: There is a complete documentation file provided by the Census bureau included to help you convert to DBASE-II. The principles are the same for nearly every DBMS - just remember that these are comma-delimited files. Relational Databases: It would be fairly easy to set up a relational database with the CDDB00xx.TXT file as a Place Name segment, the CDDB01-71xx files as data segments using the .DCT files as field names. The actual operation of this would vary depending on the DBMS you are using. Spreadsheets: Many spreadsheet programs are capable of "importing" data from comma-delimited flat files such as these. Specifically, with LOTUS 123 we suggest using CENSUS (in CENSUS.ARC) or the following action: 1) Process a file in question through the UTILITYC program to add the Area names and codes (Option 6). Naming the output file as xxxx.PRN 2) Import the xxxx.PRN to Lotus 123 with the /FileImport command. 3) Sort the file (/DataSort) on the first 4 columns to seperate the rows with multiple DMA codes. 4) Align the columns with the Move command and expand the columns to the width necessary to view the data (place name should be 35 columns wide). Programming: Comma-delimited files are easily read into most languages. See the reference manual of your choice. The PKXARC program is a copyrighted product of Phil Katz and is used here under license. The Utility programs in CENSUS.ARC are copyrighted by Clark Trivett and are included here under license. These are both shareware programs. If they save you even an hours work they are surely worth the small payment the authors require. PKXARC has already saved you money, since it allowed us to distribute more than three times the information on each disk than we could have without it. The format in which this data has been provided (ie. archived in this manner on these particular disks) comprises a compilation that is unique to Public Brand Software and as such is copyrighted by us.
