20 DATA CONFIRMATION MENU ESC: IGNORE data entry. Record will not be saved. F1: CONTINUE with data. Record will be saved. F2: REPEAT data entry to make changes or correct mistakes. See next page for more detail. * Please check over your work and press the appropriate selection. ESC/IGNORE Use this option if you wish to IGNORE the data that you have entered. If you select this option the data will NOT be saved and you will be able to continue with other data. F1/CONTINUE Select this option if the data you have entered is correct. This option will SAVE your data and allow you to continue with other data. F2/REPEAT Select this option if the data you have entered is NOT correct. This option will allow you to go back and EDIT your previous data entry. You will see the old values that you entered as DEFAULT values. You may choose these default values by simply pressing ENTER when that option is available in the top right hand corner of the screen. ~ 21 DATA ENTRY MENU ESC: EXIT data entry. Changes will not be saved. F1: DATE to be entered. See next page for more detail. * ESC/EXIT If you do not wish to add data and would like to end now press this option. F1/DATE If you are ready to enter the date press this option. The date is the date on which the transaction took place. When you press this option you will be asked to enter the month, day and year in sequence. Todays date will show up as a DEFAULT. If the transaction took place today press ENTER as the default month, day and year show up and you will not have to type them in. However if the transaction took place on some other date you should type in that date. Once you have typed it in the month press ENTER and you will be asked for the day, then the year. Acceptable values for the month are 1 through 12 Acceptable values for the day are 1 through 31 If you enter values between 70 and 99 for the year, 1900 will be added to them. For example if you enter 93 the year will become 1993. If you enter values between 1 and 69 for the year 2000 will be added to them. For example if you enter 3 the year will become 2003. If you enter the whole number for the year 1993 or 2003 it will be taken as is. You will have the option of pressing ESC any time during which you are entering the dates. This will immidiatley end data entry. Also if you enter no value and press ENTER the DEFAULT value will be used. ~ 22 DATA ENTRY MENU ESC: EXIT data entry. Changes will not be saved. F1: TYPE IN income, transfer or spending. F2: INCOME (Transaction was an income.) F3: TRANSFER (Transaction was a transfer.) F4: SPENDING (Transaction was a spending.) See next page for more detail. * ESC/EXIT If you do not wish to add data and would like to end now press this option. F1/TYPE_IN At this point you must choose between the following three options: 1. Income or [I] to enter data of some income that you received. 2. Transfer or [T] to enter data of transfering money between accounts. 3. Spending or [S] to enter data of spending money from an account. If you are ready to enter the transaction type press this option. Once you press this option you will be asked for one of the three above transaction types. You will need to press i,t, or s. If you are editing this data record, or repeating it you will see the default value and the ENTER option in the top right corner. If you choose to keep the DEFAULT option simply press ENTER at that point. F2/INCOME Select this to indicate that the transaction is an income. F3/TRANSFER Select this to indicate that the transaction is a TRANSFER. F4/SPENDING Select this option to indicate that the transaction is a SPENDING. ~ 23 DATA ENTRY MENU ESC: EXIT from data entry. Changes will not be saved. F1: AMOUNT of transaction to be entered. See next page for more detail. * ESC/EXIT If you do not wish to add data and would like to end now press this option. F1/DATE If you would like to continue with data entry press this option. Once you select this option the next item to be entered will be the Amount. This is the amount that you transfered, spend or earned. If you decide to end data entry at any point you can press ESC. If you are editing this data record, or repeating it you will see the default value and the ENTER option in the top right corner. If you choose to keep the DEFAULT option simply press ENTER at that point. ~ 24 DATA ENTRY MENU ESC: EXIT data entry. Changes will not be saved. F1: LIST subheadings. F2: UPDATE SUBHEADINGS if the desired subheading is not in the list. F3: TYPE IN the subheading. See next page for more detail. * ESC/EXIT If you do not wish to add data and would like to end now press this option. F1/LIST If you do not remember the exact name of the subheading you should select this option. Once you select this option you will see a list of the desired subheadings. You must choose one from the list. You would do that by pressing the NUMBER key and entering the appropriate number. If however you do not find the appropriate subheading you may press ESC at that time and return to the DATA ENTRY MENU. You will then have the choice of reentering another subheading or using the UDATE_SUB option to create one extra subheading that you can use. F2/UPDATE_SUB If you did not find an appropriate subheading in the list or know of no subheading that will fit this data record you should select this option. Once you select this option you will enter the UPDATE SINGLE SUBHEADING MENU. You will then have the option to look at the list of subheadings and add ONE subheading to the end of the list. Once you have done that you would press DONE and return to the DATA ENTRY MENU. The single subheading that you added will be accepted as the name to use in the data entry. F3/TYPE_IN Select this option if you are familiar with the subheading and can simply type it in. For example checking. If you make a mistake you can press ESC/REDO later on without losing any data. You will be able to reenter the subheading or choose one of the other options. If you enter a subheading and it does not exist you will get a message that the entry is invalid. You will be sent to the DATA ENTRY MENU and will be able to use any of the above options. If you are editing or repeating you will see the default value. You will also see the ENTER option in the top right hand corner. Press ENTER at that point to use the DEFAULT value and not have to retype the subheading. ~ 30 DATA ENTRY MENU ESC: EXIT from data entry. Changes will not be saved. F1: DESCRIPTION to be entered. See next page for more detail. * ESC/EXIT If you do not wish to add data and would like to end now press this option. F1/DESCRIPTION If you would like to continue with data entry press this option. Once you select this option the next item to be entered will be the Description. This is a very important part of the data. As a reminder you will notice that you cannot avoid entering something. If you enter a blank description you will be returned to entering a description. Also when you later view a report of the data, it is the description that will be displayed in the case of a single subheading. In the description you might want to enter WHY the transaction was made, or TO WHOM it was made, or any other important detail that is not evident in just the subheadings. If you really dont want to enter anything you can always write a period "." and that will be accepted. If you are editing this data record, or repeating it you will see the default value and the ENTER option in the top right corner. If you choose to keep the DEFAULT option simply press ENTER at that point. ~ 31 ESC: EXIT from data entry. Changes will not be saved. F1: CHECK NUMBER to be entered. F2: NO CHECK NUMBER. See next page for more detail. * ESC/EXIT If you do not wish to add data and would like to end now press this option. F1/CHK_NUM If you would like to continue with data entry and if there is a check that was used with a valid check number choose this option. Once you select this option the next item to be entered will be the check number. This is typically the number of the check that YOU have signed. There is no need to type in other peoples check numbers, only those that are relavent to one of your accounts in the heading "money accounts". These numbers will show up when you report your data and can be used to identify transactions quickly. If you decide to end data entry at any point you can press ESC. If you are editing this data record, or repeating it you will see the default value and the ENTER option in the top right corner. If you choose to keep the DEFAULT option simply press ENTER at that point. F2/NO_CHK Choose this option if there is no check or no check number of importance. In this case no check number will be displayed. ~ 32 ADD DATA MENU ESC: EXIT data entry. F1: CONTINUE adding more data. See next page for more detail. * ESC/EXIT If you do not wish to add data and would like to end now press this option. If you have been adding data previously it is already saved and this option will not erase any data. F1/CONTINUE If you would like to add data records to the database select this option. If you have been previously adding data this will allow you to continue adding more data records. ~ 33 DATA RECORD MENU ESC: EXIT from data record menu. Do not pass any number to previous menu. F1: CONTINUE with next step and pass number to next menu. F2: NUMBER of data record desired. F3: FIND a data record using key words and tranaction amount. See next page for more detail. * You have the option of using the Page Up and Page Down keys to go back and forward respectively through the data records. If you reach the ends of the stack of records you will not be able to go any further. ESC/EXIT If you wish to end the data record listing without any result select this option. In this case no numbers will be passed to the next function and you will be returned from the menu of origin. F1/CONINUE Select this option if you would like to use the number of the record that you are now viewing. This is what you should choose in the event that you are trying to edit a data record and have found the one that needs to be edited. Once you press this option the number will be passed to the next function and you will be able to edit this data record. F2/NUMBER Select this option to immidiatley move to the desired data record. This method may be faster than using Page Up or Page Down to go through a large quantity of records. Once you enter the number, that data record will be displayed. You will then have the option to move from that point up and down the list using the Page Up and Page Down keys. F3/FIND Select this option if you need to find a particular record using a keyword or an amount that you are familiar with. Once you select this option you have the choice between an amount and a keyword. The keyword search will look in the Description string of the data record. If a match is found the record number will be displayed. ~ 34 STARTUP ------- You have now entered the startup interface. This will help you to enter all the necessary information to get you started. In the end your database will be up-to-date and you will be able to enter further data records as you make further transactions. The startup will consist of the following steps: 1. Create your subheadings 2. Update accounts 3. Check if Keeptrak accounts match your account statements 4. Repeat if necessary When you press ESC you will start with the first step >> Creating your subheadings: ~ 35 LIST SUBHEADING MENU ESC: EXIT list subheading menu. F1: NEXT subheading list. F2: PRINT this subheading list. Page Up/Page Down: View more subheadings in list. See next page for more detail. * ESC/EXIT Use this option to return to the LISTINGS MENU. F1/NEXT This option will take you from one heading to the next. By selecting this option you will move from Income sources to money accounts to spending categories. If a particular list of subheadings does not fit on the page you will have the option to use Page Down and Page Up to view all the subheadings within a particular heading before pressing this option. F2/PRINT Select this option if you want to print the subheading on the printer. You should turn the printer on and select "draft" quality if available. Next select this option and heading you are viewing will be printed. ~ 36 FIND MENU ESC: EXIT from find menu. F1: KEY WORD to be searched in description of each record. F2: AMOUNT to be searched in each record. See next page for more detail. * ESC/EXIT Select this option if you wish to exit from the FIND MENU. No record number will be sent to the DATA RECORD MENU. You will be sent to the record you were previously looking at. F1/KEY_WORD Select this option to find a word or part of a word in the description section of a data record. The search will look for the match anywhere in the description and is not case sensitive. Thus by typing "plumb" you can track down instances like "Plumbing," "PLUMBING," or "plumber." F2/AMOUNT If you are looking for an amount but are having difficulty locating the data record, select this option. You will be asked to type in the amount and all instances of this amount will be reported. ~ 37 FIND MENU ESC: EXIT this search. F1: FOUND data record. Go back to data record menu. F2: NEXT data record. See next page for more detail. * ESC/EXIT Select this option if you wish to exit and do another search. F1/FOUND Select this option if the data record you were looking for has been found. When you select this option, the record number will be sent to the DATA RECORD MENU. F2/NEXT If you have not found the data record you are looking for, you can continue the search by pressing this option. This option signals that you are not at the end of the database. ~ 38 SUMMARY MENU ESC: EXIT summary menu. F1: CONTINUE/GRAPH with next page or view pie chart. F2: PRINT summary data to printer. See next page for more detail. * ESC/EXIT Select this option if you wish to exit the summary MENU. F1/CONTINUE or GRAPH If there are more pages for the summary you will see CONTINUE at this menu box. Select this option to view the next page. When you reach the last page, GRAPH will appear in this menu box. Select this option to view a pie chart representation of the amounts in your subheadings. If you have negative values in your subheadings they will be put in a sepearte pie chart. Also if you have only on value you will not see anything. F2/PRINT Select this option if you want to print out the summary. Turn your printer on and select the "draft" quality button if there is one. Once you select this option the information will be sent to the printer. ~
