21 DATA ENTRY MENU ESC F1 EXIT CONTINUE At the DATA ENTRY MENU you have the above options. See next page for description of each option. Once you have viewed the help screens press ESC to escape from this HELP MENU and go back to the DATA ENTRY MENU * ESC/EXIT If you do not wish to add data and would like to end now press this option. * F1/CONTINUE If you are ready to enter the date press this option. The date is the date on which the transaction took place. When you press this option you will be asked to enter the month, day and year in sequence. Acceptable values for the month are 1 through 12 Acceptable values for the day are 1 through 31 If you enter values between 70 and 99 for the year, 1900 will be added to them. For example if you enter 93 the year will become 1993. If you enter values between 1 and 69 for the year 2000 will be added to them. For example if you enter 3 the year will become 2003. If you enter the whole number for the year 1993 or 2003 it will be taken as is. You will have the option of pressing ESC any time during which you are entering the dates. Once you select this option the next item to be entered will be the description. This is a very important part of the data. As a reminder you will notice that you cannot avoid entering something. If you enter a blank description you will be returned to entering a description. Also when you later view a report of the data, it is the description that will be displayed in the case of a single subheading. In the description you might want to enter WHY the transaction was made, or TO WHOM it was made, or any other important detail that is not evident in just the subheadings. If you really dont want to enter anything you can always write a period "." and that will be accepted. * This is the end of the options under the DATA ENTRY MENU. Once you select this option the next item to be entered will be the check number. This is typically the number of the check that YOU have signed. There is no need to type in other peoples check numbers, only those that are relavent to one of your accounts in the heading "money accounts". These numbers will show up when you report your data and can be used to identify transactions quickly. If you decide to end data entry at any point you can press ESC. * F2/NO_CHK Choose this option if there is no check or no check number of importance. In this case no check number will be displayed. * This is the end of the options under the DATA ENTRY MENU. Please press ESC to end the HELP MENU and return to the DATA ENTRY MENU. You may press the Page Up key to go back and read about the options over again. ~ 34 STARTUP MENU ESC F1 F2 F3 F4 EXIT CONTINUE ADD_ACCOUNT BALANCE_INF INFORMATION At the STARTUP MENU you have the above options. Once you have viewed the help screens press ESC to escape from this HELP MENU and go back to the STARTUP MENU * ESC/EXIT Select this option if you want to end the program without saving any further data. * F1/CONTINUE Select this option AFTER you are done adding accounts using F1 and have completed entering the account statement balance information using the F3 key. This option will take you to the next step of the startup process. where you will be asked to enter transactions after the statement balance dates and before the starting date. * F2/ADD_ACCOUNT Select this option FIRST. DO NOT select F3 till you have finished entering all the information required in this menu. When you select this option you will be asked to add MONEY ACCOUNTS. You should first decide what your money accounts will be. If you are having problems deciding on your money accounts select option F4/INFORMATION for a full description on subheadings. * F3/BALANCE_INF Select this option AFTER you have completed adding ALL your MONEY ACCOUNTS using the option F2/ADD_ACCOUNT. Once you have added all your money accounts it is time to add the starting date for your database and the initial balance in each account. Once you select this option. You will be asked to enter the starting date and then the statement balance dates and balance amounts for each money account. If you are not sure about what the starting date is or what the statement balance amounts should be select option F4/INFORMATION. * F4/INFORMATION Select this option to read all the information you will need to startup. * This is the end of the options under the STARTUP MENU. Please press ESC to end the HELP MENU and return to the STARTUP MENU. You may press the Page Up key to go back and read about the options over again. ~ 35 STARTUP MENU ESC F1 F2 F3 F4 EXIT CONTINUE ENTER_DATA CHK_REPORT INFORMATION At the STARTUP MENU you have the above options. Once you have viewed the help screens press ESC to escape from this HELP MENU and go back to the STARTUP MENU * ESC/EXIT Select this option if you want to end the program without saving any further data. * F1/CONTINUE Select this option ONLY when you have COMPLETED balancing the account. The only transactions that might not be complete are amounts deposited into the account from another account that is LATER on the list. (See more details using F4/INFORMATION) Once you press this option you will be able to enter data for the next account on the list. * F2/ENTER_DATA If you have receipts for the period AFTER the last statement ending period and before the starting date, (for the account you are currently working on) you should select this option. NOTE: To prevent overlapping of data in the event of transfers you can only enter transfers from the account you are working on to another account. That is if you have a TRANSFER from another account TO this account you will NOT be able to enter it here. You will have to wait till you are working on the account FROM which the money was taken out before you can enter it. You might want to keep that receipt seperately to remind you to enter the transaction later. * F3/CHK_REPORT Once you have entered all the necessary data you should select this option to look at the balance of the account you are working on. If all the information has been entered correctly then the statement balance and the checkbook balance should match with the balance on your account statement and the balance on your checkbook respectively. In the instance that you have not been able to enter a transfer from another account to this one, you will have to wait till you are working on that account. Later on you will have the option to repeat from the beginning of the money accounts and re-check the reports. In the end all the reports should show the correct information. * F4/INFORMATION Select this option to read all the information you will need to startup. * This is the end of the options under the STARTUP MENU.
