Welcome to the CA-Simply Money to Quicken (MXF to QIF) Conversion utility! This conversion utility makes it easy for you to convert your CA-Simply Money Version 1.0 data into Quicken for Windows Version 3 data. Just follow this document from beginning to end. You may want to skim Section III "About CA-Simply Money Conversions" before beginning the conversion process (e.g. some category names are truncated in the conversion). ABOUT CA-SIMPLY MONEY CONVERSIONS Also, here are some features in Quicken that are not in CA-Simply Money: - Investment Tracking - multiple methods of measuring investment performance and value, e.g. internal rate of return. - Financial Calendar - for scheduling transactions, also enters future transactions automatically. - Financial Planning - forecasts net worth, cash flow, and account balances. - QuickZoom - see the numbers behind reports and graphs. * Quicken is a registered trademark of Intuit Inc. CA-Simply Money is a trade of Computer Associates International, Inc. All other products and services are trademarks of their respective manufacturers. ------------------------------------------------------------------ I. WHAT YOU NEED ================= You'll need the following equipment to run the conversion utility: - an IBM (or 100% IBM-compatible) 386 or higher computer - a minimum of 2 MB of RAM - a hard disk with at least 5 MB of disk space - Microsoft Windows, Version 3.1 or higher, running in standard or enhanced mode - DOS Version 3.1 or later - CA Simply Money, Version 1.0 - Quicken for Windows, Version 3 II. CONVERSION PROCESS: ======================== Before you begin, back up your data. A. INSTALLATION ------------ If you have not already done so, install Quicken (see Quicken manual). Be sure to note the drive and directory where you uncompressed the MXFTOQIF.ZIP file (eg. C:\DOWNLOAD). You will need this for step 7 below. B. CONVERTING CA-SIMPLY MONEY DATA ------------------------------- 1. Start CA-Simply Money and open the Finance Group you wish to convert to Quicken. 2. Select Export... from the CA-Simply Money File menu. 3. In the Export CA-Simply Money Data window: - Under filename type in TEMP.MXF - Click the Dates button, and select the date range (e.g. All Dates) for the data you want to convert to Quicken. - Make sure all Export option boxes are checked. - Make sure MXF compatibility is selected. 4. Click OK to export the data. This will export your data to a file called TEMP.MXF in you Simply Money data directory (usually C:\S-MONEY\DATA). 5. When you see the Export complete. message, click OK and then exit CA-Simply Money. 6. Select Run... from the File menu in the Windows Program Manager. 7. In the Command Line of the Run dialogue box, type in the path to the location where you uncompressed the mxftoqif.zip file, followed by MXFTOQIF.EXE (eg. C:\DOWNLOAD\MXFTOQIF.EXE) and click OK to run the conversion utility. 8. In the MXF to QIF File Conversion Utility window: - Use the File... button to locate and select your exported TEMP.MXF file in the file system (e.g. C:\S-MONEY\DATA\TEMP.MXF). The Files box will then display: * the MXF export file (TEMP.MXF) you are converting, * the name of the QIF file (TEMP.QIF) that will contain the converted data, * and the name of the report file (REPORT.TXT) that will contain detailed information about data that was changed during the conversion. - Click the Convert button to begin converting your data. The Statistics box displays the number of records converted and the number of comments and alerts written in the report file for each item converted. If you converted investment data, and securities price history data was exported to the PRICEHST.QKN file, you will need to import these prices later in Quicken as described in the next section Importing Data into Quicken. 9. Answer YES to review the REPORT.TXT report file in the Windows Notepad. This file contains the "MXF to QIF File Conversion Report" which lists every data item that was changed or caused a problem in the conversion process. The file is stored in the same directory as the original MXF file. Two types of information are listed: COMMENT: Indicates an item that was changed, such as a category name. In some cases, you may be instructed to do something in Quicken, such as add a symbol to your Quicken securities list before importing price history data. ALERT: Indicates a serious problem that may require that you re-export the data. Be sure to resolve all ALERTs before importing your data into Quicken. After you review "MXF to QIF File Conversion Report", it is a good idea to print the file and then close the Notepad. 10. Click Exit to close the MXF to QIF File Conversion Utility window. C. IMPORTING DATA INTO QUICKEN --------------------------- Follow the steps below to import your converted CA-Simply Money data into Quicken for Windows: 1. Start Quicken by double-clicking the Quicken icon in Windows. 2. Choose New... from the File menu, select New File, and click OK to set up a new file that will contain the CA-Simply Money accounts you will be importing. 3. Specify the name for your new Quicken data and click OK. 4. Select Investment Account from the Select Account Type window and click OK. 5. Enter a unique temporary account name like TEMP1 in the Account Information window and click OK. NOTE: Do not specify the name of an existing CA-Simply Money account as your Quicken account name. Use a temporary account name like TEMP1. After you finish importing the data, you can delete this account at any time. 6. Click Yes to add a Portfolio View icon to the icon bar. Quicken creates the new account and immediately displays the account check register. 7. Choose Import... from the File menu. 8. At the QIF Import window: - Enter the path and filename of the QIF file (including the extension) that contains the converted data or use the Browse button to locate the QIF file in your file system. For example, C:\S-MONEY\DATA\TEMP.QIF. - IMPORTANT! Make sure all Import Items are checked except "Special handling for transfers"! Check: - Transactions - Accounts List - Category List - Memorize Transactions DO NOT check: - Special handling for transfers 9. Click OK to import the data into the new Quicken file. During the import process, Quicken displays messages whenever it trys to import data it does not recognize. This is normal when importing data from CA-Simply Money. Answer YES to all such messages. 10. Add information that CA-Simply Money did not export. - Add address information to any unprinted checks. - Import prices using the Portfolio view. You will need to import prices if you converted an investment account and a PRICEHST.QKN file was created during the conversion process. NOTE: Security symbols are not imported. You need to enter the security symbols in Quicken before you import prices. To import prices, open the investment account, click the Port View button, and select Import Prices from the File menu. Type the complete path and filename for the PRICEHST.QKN file in the Import Price Data window and click OK. Quicken then imports the price history for that investment file. 11. Verify the results. Be sure to check some randomly selected transactions and all of your account balances to make sure that they match the CA-Simply Money data. If one of your accounts has an incorrect balance, compare the check registers in CA- Simply Money and Quicken and see if anything did not make it into Quicken. See Section III "About CA-Simply Money Conversions" for information about how the data was exported and converted. 12. If you do not have enough disk space for both CA-Simply Money and Quicken, you can remove CA-Simply Money from your hard disk after you've verified your data. 13. Delete the temp1 account (created in step 5 above) at this time. 14. Delete the report files created during the conversion process from the directory where you put the QIF file, including the .MXF file, the .QIF file, PRICHIST.QKN, and the REPORT.TXT file after you've reviewed its contents and printed the file. NOTE: You need to repeat the conversion process from Section II.B "Converting CA-Simply Money Data" onward for each Finance Group you wish to convert to Quicken. You can delete the \CONVERT directory and its contents once you've converted all of your Finance Groups to Quicken. III. ABOUT CA-SIMPLY MONEY CONVERSIONS ======================================= - Special characters in CA-Simply Money names CA-Simply Money uses six special characters in category names that are not used in Quicken. When the six characters shown here in parentheses ( : [ ] / | ^ ) are found in a CA-Simply Money category name they are converted to a hyphen (-) in the Quicken category name. - Account names in CA-Simply Money category names Account names are often appended to the end of CA-Simply Money category names. Since Quicken handles accounts differ- ently than CA-Simply Money, Quicken Convert always truncates account names from the category name. - When CA-Simply Money names are too long... Quicken supports category names of up to 31 characters and subcategory names of up to 15 characters, whereas CA-Simply Money allows longer category and subcategory names. When CA-Simply Money category names are too long to fit into Quicken and there is no equivalent category name in Quicken, Quicken Convert truncates subcategory names to the first 15 characters and truncates the full category name to 31 characters. If a subcategory is lost due to this truncation, the transaction is assigned to its parent category. For example, if you have the following category: Clothing Expense:Sports & Recreation:Big 5 the category name would become: Clothing Expens:Sports & Recrea If a category or subcategory is truncated to the point that it duplicates a category name for a different category, a number is appended to the name to make it unique. This number is incre- mented for each additional category with the same name that is created. For example, if you have these two categories: Clothing Expense:Sports & Recreation:Big 5 Clothing Expense:Sports & Recreation:Any Mountain these categories would be created: Clothing Expens:Sports & Recr01 Clothing Expens:Sports & Recr02 - CA-Simply Money payroll accounts CA-Simply Money payroll accounts are converted to Quicken but are not used by Quicken. You can delete these accounts after you've converted your data. - Loans in CA-Simply Money Although CA-Simply Money loan accounts are converted, some aspects of mortgage loan accounts are not useful in Quicken. It is best to delete the CA-Simply Money mortgage loan accounts in Quicken's account list and then use Quicken's loans feature to set up and automatically amortize your loans. - Utilizing Quicken categories * Handling FICA expenses CA-Simply Money combines Medicare and Social Security expenses in a single category, Paycheck Expense:FICA, whereas Quicken itemizes this expense in two separate categories, Tax:Medicare and Tax:Soc Sec. Quicken Convert assigns all Paycheck Expense:FICA categories to the Tax:Soc Sec category in Quicken. For future paychecks, you may want to separate the FICA expense using Quicken's categories. * Differentiating paycheck expenses for spouses In CA-Simply Money, multi-level subcategories are used to differentiate between spouses income and expenses. For example, you might have two categories in CA-Simply Money like: Paycheck Expense:Federal Withholding:Kathy's company Paycheck Expense:Federal Withholding:Robert's company Since in this case the Quicken conversion process truncates the 3rd subcategory and assigns the category to the Quicken category Tax:Fed, there is no longer differentiation between spouses. However, Quicken has standard categories you can use to reassign these expenses. In Quicken, there are two sets of tax categories; one for Tax and one for Tax Spouse: Fed Fed Medicare Medicare Other Soc Sec Soc Sec State State To divide your paycheck transactions in Quicken between spouses, you simply need to find the transactions using Tax: categories and reassign them to the appropriate Quicken categories. - Handling electronic bill paying If you use electronic bill paying in CA-Simply Money, you should wait to convert to Quicken until all transactions have cleared. You should then set up the electronic transactions in Quicken. See Chapter 9 in the Quicken for Windows manual for more information about paying bills electronically. - Duplicate income and expense category names If you have created income and expense categories with the same name, Quicken convert assigns all of the transactions to the same income (or expense) category. You can fix this in Quicken by locating these transactions and changing the category as necessary. - How CA-Simply Money categories are mapped to Quicken categories Since Quicken for Windows probably does not have the same categories you used in CA-Simply Money, we have done our best to utilize your category names or convert them to the nearest equivalent standard Quicken category. The following table shows how the most common CA-Simply Money catego- ries are assigned in Quicken for Windows. The following category names marked with an asterisk (*) indicate CA-Simply Money names that are changed in Quicken to conform to Quicken's naming convention. If you have category names that do not appear in this table and are not sure how they were converted, review the REPORT.TXT file that was created during the conversion process for a comprehensive list of how your categories were mapped into Quicken categories.
