(NoDak) For years there have been two major complaints within the genealogical community: (1) it takes so much time to do even a relatively simple search and (2) information is buried in unknown sources. These two factors have forced a great deal of genealogical research to come to a virtual standstill. For those people that have been able to progress it has come as the result of hundreds and thousands of hours of painstaking work. These factors have been the cause of tens of thousands of individuals just giving up the search. Automated Archives has developed a new computerized research system that will change the way much of genealogy research is done. It is called the Genealogical Research System (GRS). This system combines the power of today's personal computers with developments in the area of data storage and retrieval, and in the conversion of printed information to computerized format. Through this unique combination of technologies, you will now be able to use your personal computer to search quickly through huge collections of genealogical data for new information about your ancestors without either leaving home or using long distance phone calls. The system can be used with all IBM compatible personal computer systems and IBM PS2 machines. There is already a scheduled release for Macintosh machines and those for other systems will be scheduled as time and funding permit. At last it will be possible to search quickly and completely through databases that contain millions of individuals, such as the U.S. Census. You will be able to look across large regions of the country and extended time periods, within one single search. The system is made up of four primary components: (1) your IBM compatible personal computer with 640 K memory and a single floppy disk; (2) a CD-ROM Reader; (3) search and retrieval software from Automated Archives; and (4) CD-ROM Data Disks from Automated Archives. The CD-ROM Reader is one of the latest technological breakthroughs in the computer industry. It is like a floppy disk reader except the disks are CD-ROM. These are similar to the music Compact Disks that are now so popular, but are loaded with computer data instead of music. CD ROMs hold up to 550 million characters. This is the equivalent of more than 200 rolls of microfilm or 150,000 pages of text. It would take 1500 standard floppy disks to hold that much data. There is more data on one CD-ROM than you ever dreamed of having access to and Automated Archives will be releasing dozens of such CD-ROMS in the next few years. To search through this much data is a difficult task but Automated Archive's new search and retrieval software was designed to quickly search for genealogical data in huge databases. The databases are created in such a way as to allow a researcher to find a document with literally any word or combination of words from that document. You will be able to find all references to your ancestor that have been buried deep within unindexed local histories or in unknown areas of census records. You can search hundreds of sources of data at the same time for all occurrences of names, locations or events. In the future, surnames will be able to be searched by Soundex. Remember, all the words are indexed, so there is no limit as to what you can search. You are not constrained by county or state borders. It is possible to locate individuals without knowing in advance "where do I search?" A typical search takes just seconds. Can you imagine what this will do for your research? One of the most overlooked areas of research has been the local and family history books. These have been ignored primarily because of the lack of a common indexing system. Even in most of the books that were indexed the majority of the people were not indexed, as they were considered minor lines or women. So up to now, if you didn't have a pretty good clue that your line was in a specific book, you just walked on by. With the GRS, this all changes. You will now have a single inexpensive source for much of your research needs, be able to search all the material in literally seconds and be able to do this from your own home or local library. The process of producing such disks will vary upon how we are able to obtain our data. For example, the family histories are usually in printed form. We first optically scan the pages and covert the printed pages into electronic images. These images are then converted through a process called OCR (Optical Character Recognition) into standard computer text. The computer files are then edited and modified as necessary to be as close to the original text as possible. The final computerized text is then indexed and prepared for CD mass production. This is a very labor- intensive process. We have set the base price of our regular production disks at only $169.00. Associate Members qualify for a 10% discount while the Charter Members qualify for a 40% discount. At the 40% discount rate, the cost for a completely indexed computer reference text is approximately 20 cents per volume, less than 1/10 cent per page. What an inexpensive way to build a library. The introductory disk is available now. It has seventy-eight different sources of data. Included in this set are thirty complete biographies, forty-six family histories, the compendium First Families in America by Virkus and a portion of the 1870 New York Long Island Census. The volumes on the disk were not selected at random, but have been selected by a professional genealogist, Roger Flick. Roger was the acquisitions specialist for the Brigham Young University Genealogy Library (one of the larger genealogical collections) for many years. So our introductory CD will be quite valuable. We have concentrated on the New England area during the colonial period. The introductory disk contains references to over 20,000 different surnames. The retail price for the introductory disk and the retrieval software is $100.00 total. Now for some real good news! Automative Archives has obtained some wonderful data, and since we don't have to scan or edit it, it will be available right away. The first disk is already available, with the successive disks available at regular intervals. These disks will sell for a retail of $169. They are as follows: We have obtained indexes to approximately 3,000,000 marriage records primarily for the Southern States. This information will be released on five separate CD's. Each disk will contain slightly over 500,000 separate marriage references. Most of these were extracted from the original government documents, so they are quite accurate. The dates shown are the extremes, not all the sources had the same date range. Marriage Disk #1- is from Louisiana; it was gathered from fifty parishes and covers marriages for the years 1739-1924. AVAILABLE NOW!!! Marriage Disk #2- is for Illinois, Indiana, Kentucky, Tennessee and Ohio. Illinois -19 counties, 1763-1879 Indiana -52 counties, 1800-1901 Kentucky -67 counties, 1780-1900 Tennessee -45 counties, 1717-1907 Ohio- -39 counties, 1789-1863 Marriage Disk #3- is for Alabama, Georgia, and South Carolina. Alabama -32 counties, 1807-1902 Georgia -82 counties, 1786-1896 S. Carolina-54 sources, 1600-1890 Marriage Disk #4- is for North Carolina, Virginia and Maryland. N. Carolina-98 Counties Virginia -59 counties, 1660-1926 Maryland -23 counties, 1655-1886 Marriage Disk #5- is for Texas, Arkansas, Missouri and Mississippi. Texas -84 counties, 1814-1909 Arkansas -13 counties, 1820-1949 Missouri -62 counties, 1766-1893 Mississippi-82 counties, 1799-1925 In addition to these disks, we have also obtained the rights to publish the American Genealogical Libraries collection of indexes to census records. These records were produced by Precision Indexing. This collection consists of seven sets of index records that are available in print for about $350 per set. The sets are the 1870 Census records for North Carolina, Virginia, West Virginia, St. Louis, Philadelphia, Long Island - New York and Chicago. There are over 1.5 million separate records in this collection which will be released on a single CD disk. Precision Indexing has received much attention due to the accuracy of their indexing product. We anticipate being able to sell this CD for approximately $600-700. This is outside the range of our normal CDs, but this is a very special disk. We are planning for a release date of approximately October 1990 on this disk. Another exciting product that is in early production at this time, is one that all genealogists will just love. We are producing the Mormon Pioneer Genealogy Library (MPGL) on CD. The Mormon Pioneer Genealogy Library represents the genealogy of the 1500 Mormon pioneer families with the largest posterity. It is estimated that about seventy-five percent of all the millions of charts submitted to the LDS Church would duplicate information already organized and available in the Mormon Pioneer Genealogy Library. This data has been gathered by Michel L. Call. It is comprised of over 15,000 pedigree charts and 35,000 family group sheets. These families are taken back into the colonial periods and into the royal lines of England. Over 600,000 linked individuals will be in the first release of the database on CD. According to MPGL projections, the largest family in America is that of Robert White (b. ca.1560) & Bridget Allgar, with a Mormon posterity of 430,000 and an American posterity of 29,000,000. The next five families are Edward Griswold and Margaret, Joseph Loomis and Mary White, Gerard Spencer and Alice Whitbread, Thomas Ford and Elizabeth Charde, and Thomas Bliss and Margaret Hulins, each with a Mormon posterity of 270,000 and an American posterity of 18,000,000. You can easily see that with all these major families, and hundreds more, that the possibility of linking into this database is extremely high. The price for the CD containing the Mormon Pioneer Genealogy Library will be $169.00. This particular database will be updated annually. The updated disks may be received by holders of the original for $39.00 per year. We are really excited about these disks and programs, and this is just the beginning. As you can plainly see, this system will revolutionize the way genealogy is done today. It's possible that not too far into the future you will rarely use a microfilm reader or search by hand through hundreds of volumes of material. You will simply tell the computer who you are looking for and in seconds, you will have the results gathered from hundreds of separate sources. Search Services Automated Archives, in its attempt to meet the needs of all genealogists, has started to provide search services for clients that do not have or cannot afford their own computer system. We are, however, not a genealogical research company and do not keep registered researchers on staff for this purpose. We will do various types of simple searches to assist the client in their own attempts to locate their ancestors. Surname Search For the Surname Search the client specifies a surname, the state and general time frame. Automated Archives will then search through the information that it has gathered for that particular area for all occurrences of that surname. There is a base charge of $10.00 for each search plus a $2.00 service and handling charge for each order. The report will be a printout that contains the specific reference plus a minimum of twenty lines of copy from the reference work. If there is more material, then all of the relevant material will be included. Up to five full pages of printouts will be provided as part of the search fee. If more than five pages of printouts are generated, then the additional pages will be charged at twenty cents per page. If more than twenty pages of printouts are generated, the client will be contacted for further instructions. If there are no references to your surname, within the area requested, then the base charges will be refunded. Automated Archives does not guarantee that the particular references found are the client's specific ancestors. As the research fee is a minimal charge, the client should not expect our searchers to evaluate each entry to make sure that the reference meets additional client-imposed criteria. Remember this is a surname search only. Please do not send family group sheets, pedigree sheets or long descriptions of individuals for which you want searches performed. This makes the search too involved, whereas it is designed to be a low cost search. If the client wants the results of more specific searches, then they should consider renting or purchasing the published CD disks to use themselves. Please note that with the rental program you can do hundreds of searches for the same price as a couple surname searches. Surname Extractions The Surname Extraction is for clients that have access to a computer system, and desire a more extensive search for a surname. Basically, we perform a surname search on the entire collection of materials we have gathered, with no restriction as to time or location. The results are then downloaded onto one or more floppy disks. There is room on each floppy disk for about 500 separate references and the associated text. If the search results in less than 100 references, then the client's money will be refunded. The client may elect to have this converted to a standard printed search. The floppy disks sell for $19.95 for the first floppy disk and $15.00 for each additional floppy disk to a surname set. For example, if there were 1500 references found to a particular surname, then it would take three floppy disks to contain them, for a total cost of $49.95 plus $2.00 for shipping and handling. The data is saved in a standard ASCII text file in a standard IBM DOS file that can be loaded directly into a word processor for editing and other uses. Books on Floppy Since Automated Archives is continually scanning various books for inclusion with our CD products, we are building quite a library of materials in computerized format. We are now making this entire collection of material available to those with access to an IBM compatible computer. Other computer formats should be available by late fall. The complete text of each book will be on the floppy just as in the compact Disk version, but only a single book will be contained on each floppy disk. The text will be in Automated Archives format so that the user may perform all the normal search and retrieval requests that can be performed on the compact disk. Every word is indexed so that you may quickly find all pertinent information. The standard GRS program is utilized for access. The GRS program may also be used to print out sections from the text or save it to an ASCII file for later use in a word processor. The price per book varies upon the size of the original book. They will range from $10.00 to $30.00 each. A complete price list of all books is available from Automated Archives and will be sent upon request. The files for the books on floppy may be copied to hard disk for use even though many are under copyright restrictions. Much of the original information provided does not belong to Automated Archives and we are obligated to pay a royalty for its use. Therefore, please, do not distribute them to other users! If we find that this becomes a problem, we will discontinue this service. Associate Membership Automated Archives is offering a new package of benefits for the active genealogist. All the benefits listed below are limited to Associate Members. Quarterly Newsletter A new quarterly newsletter Climbing the Tree is being introduced by Automated Archives to show techniques of utilizing computers within genealogical research. Included will be articles on how to become more successful and efficient with Automated Archives' GRS system, PAF and Roots III. It will also contain evaluations of many products. The idea will be to promote genealogical research with computers. Also, individuals will be encouraged to submit specific questions and problems to us. The questions and answers will be published. Rental Services In response to customer requests, Automated Archives now has a rental program for Associate Members. This will allow everyone to have all the benefits of our entire collection of material as we produce it, without having to purchase the compact disks. Most individuals cannot afford to purchase every disk. However, most people will find at least some material that will benefit their research efforts. The rental program alleviates most of these costs. The CD-ROMs will rent for 15% of the retail price per month. For example, the standard production disk of Automated Archives can be purchased for $169.00. The rental for this disk would work out to be $25.00 per month. In addition, if you wish to keep the disk, 80% of the rental amount already paid will be applied to the purchase price. Hardware Discounts Automated Archives realizes that many of its clients do not have computers and that those who do rarely have compact disk players on their computers. As this is a relatively new technology and most computer dealers do not carry these lines in stock, Automated Archives has established distributor and dealership arrangements with various manufacturers of computer equipment. We are doing this only as a service to our clients, so we can pass on the discounted prices directly to them. As a result we sell computer hardware at approximately 20% below retail prices. Product Information Automated Archives will mail to all Associate Members detailed information on all the newly available products once a month. This package will list all the books and sources that are included on all new disks, and the information available on floppy. Program Updates The Genealogical Research Program, as provided by Automated Archives, will be updated on a regular basis as new features are added. Associate Members will be able to purchase the program upgrades for a $10.00 upgrade fee. The current version of the program retails for $39.95. Discounts on CD-ROMs and Search Services All CD-ROM products and Search Services provided by Automated Archives will be discounted 10% for Associate Members. For example, the CD ROMs that retail for $169.00 each will be sold to Associate Members for $152.00 each. Discounted Search Services include Surname Searches, Surname Extractions, and Books on Floppy. Referral Credit System The single largest problem that Automated Archives has is letting genealogists know that we exist. Currently there are approximately 4,000,000 active genealogists within the United States alone. The vast majority of these genealogists do not subscribe to any genealogy magazine or belong to a family history association. This makes it very difficult for us to reach them. We understand that many of our clients can not afford to build their reference library to the point that they desire. The Referral Credit System was created to give all of our clients the ability to build their own Computerized Reference library. This is not a way to earn money! This is a very simple system. As you help us grow, by referring other genealogists to our program, we help you accomplish your goal of having your own Genealogical Research System and assisting your research efforts. As you refer others you can earn credits that can be applied toward purchase of any of the products or services that we sell. As an associate member of Automated Archives, you give to other genealogists a prepared information package and if possible demonstrate the system to them. Part of the information package is a registration form. On this form be sure to include your name and membership number as the referral person. This will insure that the proper credits are given for the referral. You never handle any product or sell anything. If any client wants something it is ordered directly from the company. The membership number will control who receives the referral credits. That's all there is to it. The information package may be copied and freely distributed. Additional Registration forms and information packages are available from Automated Archives. No meetings, no selling, no inventory to maintain, no problems. Your current credit status will be printed on a summary sheet that is distributed with the monthly product information package. You will receive 10% credit for all sales ordered by genealogists that you have referred (first generation). You will also receive 10% of all the sales ordered by people referred by your referrals (second generation), and 10% of all the sales from the next generation of referrals (third generation). These credits will continue for as long as you are an associate member. Even if you only refer just a few individuals, the total number of members within three generations can still be quite large. Automated Archives does not guarantee how many credits you will earn, but by actively referring others, you can build up enough credits to realize significant discounts on products in which you have an interest. There are a few restrictions as to the use of credits: - Purchasing multiple copies of any of the products with credits is not allowed. The purpose of the credits is not to finance profit making enterprises, but to make the benefits of our products more available. - Up to 90% of the full retail price can be covered through the use of credits. For example, a $2500 computer can be obtained with $2250 in credits and $250 in cash. The standard CD-ROM disk available for a retail of $169.00 and available to associate members for $152.10, could be purchased for $135.20 in credits and $16.90 in cash. You do not have to wait until you have the full 90% in credits to use them however; this is only the maximum percentage that can be used per purchase. - Credits can be used along with other discounts, but the total credits plus discount cannot exceed 90% of the retail price. Here are two examples: A Charter Member receives a 40% discount on a standard $169.00 CD-ROM. The discounted price would be $101.40. The Charter Member could use up to $84.50 in credits to reach the maximum discount (90% off retail) and would pay the balance of $16.90 (10% of the retail price) in cash. Data Acquisition It should be obvious that we are looking to publish any genealogical or historical material that we can get. We know that many groups and organizations have been putting information on computer files for years and have been looking for a way to distribute the information to lots of people and libraries and yet they want to be compensated for the work that has gone into the production of the databases. Automated Archives is setting up a number of methods by which you can participate with us directly. (1) Many individuals have already published or want to publish their family or local histories. If they will send a copy on disk and a release forms, we will publish their family or local history in CD-ROM format and include it with hundreds of such volumes. We will send to the submitter a free copy of the finished CD-ROM or an equivalent amount of credits to be used for whatever products they want. There is no charge for this, and thousands of people will be able utilize the completed research. We know that there are thousands of books waiting to be published this way. (2) Many families have produced printed volumes in the past and there are no versions available on computer. If you will submit a printed copy of the book and the necessary release forms, we will evaluate the material to determine our ability to convert it for use on our CD's. If possible we will then scan, convert, and edit the final text and include it with other such submitted material. We will send to the submitter (if desired) a copy of the finished CD-ROM at the 40% discount rate or again an equivalent amount of credits to be used for whatever products they want. There is no charge for this publication, and thousands of people will be able to utilize the completed research. There are hundreds of thousands of books that could be published this way. (3) Automated Archives is creating a special collection of genealogical material that is being submitted to us in machine readable format (floppy disks or tape). We are looking for family organizations or genealogy institutions to participate on a continuing basis of submitting material from existing or proposed projects. We know that there are many projects that are very important and would be worthwhile to distribute. The completed CD's of this collections will be sold back to the contributing members for $12.95 per CD: not only the CD's that your material was added to, but all the CD's produced this way. We hope to have thousands of organizations contributing their data to this collection. Each organization would benefit by having their results multiplied by the thousands and have it all available on CD for minimal costs. It's feasible that hundreds of CD's per year could be produced in this manner. These CD's would be marketed outside of the contributing members for $79.00 per disk. If you will send us copies of the GEDCOM output of the files, we will link them into our master data base. We will give you a report back that will show you all the individuals from your file that appear to match the core individuals from our central database. We will also publish the part of the files not within the core so that other individuals will be able to have the benefits of your research. The disks of the non-core linked genealogies will be sold for $79.00 retail per disk. The data from the submitted files that fall within the core material will be compared to what we already have. If you have verifiable material that is not included in the core then it will be included in the update. Michel Call will be directly responsible for maintaining the integrity of the core database. We hope that you will wish to participate with Automated Archives as it attempts to assemble the largest, researchable computerized free text genealogical database within the world.
