COMMA DELIMITED FILE TO OYC CONVERSTION UTILITY Copyright 1994 by H.C.P. Services, Inc. All Rights Reserved USER MANUAL ---------------------------------------------- This utility will convert comma delimited ASCII files to OYC formated catalog files. The comma delimited file must have each field separated by commas, with text fields enclosed with quotation marks. The following comma delimited text file can be converted: "Field 1","Field 2","Field 3","Field 4" Numbers do not need to be within quotation marks. The following comma delimited text file can be converted: "Text Field 1",35,20,"Text Field 4",, Comma delimited text files are created by database and spreadsheet software, you should not try to add the commas and quotation marks by hand. The above format is the standard format for comma delimited text files. DO NOT CREATE A COMMA DELIMITED TEXT FILE if the file already contains quotation marks. This will result in a comma delimited text file that can not be used by other software such as this conversion utility. For example, if one of the names in your existing data base is: BIG "BAD" JOHN The quotation marks around "BAD" will result in the comma delimited text file becoming unreadable. Comma delimited text files use both quotation marks and commas to identify each field. The additional quotation marks around "BAD" will cause BIG "BAD" JOHN to be divided into two separate fields. Before creating a comma delimited text file, eliminate any quotation marks from your existing database. USING THIS UTILITY ----------------------------------------- To use this utility copy it to the directory containing the OYC software. At the DOS prompt for that directory type: COMMADEL You'll then be prompted to enter the complete filename for the comma delimited text file you wish to convert. You can also enter a drive letter and path, if the file to be converted is located on another drive or in another directory. The utility will then convert the comma delimited text file and create an OYC file called CONVERT. Once the conversion process is complete run OYC and check the CONVERT catalog to be sure all of the information is there and formatted correctly. If the information is not formatted correctly, then there are probably quotation marks in the original data. IMPORTANT! Once you've seen that the CONVERT OYC catalog file is the way you want it, rename that file using the "Rename" feature on the Utilities Menu. The conversion utility always erases the CONVERT catalog each time the utility is run. If you do not rename this catalog before running the conversion utility, it will be erased. DO NOT ERASE YOUR ORIGINAL DATA FILE UNTIL YOU ARE 100% CERTAIN THE CONVERTED (the new OYC) FILE IS GOOD AND INCLUDES EVERYTHING. ---------------------------------------------------------------- This utility is provided to you at no cost as freeware.
