ORGANIZE! Your Collection Compare Two OYC Catalogs And Delete Duplicates This documentation and accompanying software are copyright 1994 by H.C.P. Services, Inc. This utility will compare two OYC catalog files based on the information in one of the fields. It will then delete duplicated entries from the second (you specify which is the second) OYC catalog file. DISCLAIMER: This utility was developed for internal use by HomeCraft in creating catalogs of pre-entered information. There is no warranty and we do not provide technical support for this utility. It is provided only because some people may find it helpful. This utility may be used with OYC catalog files created by any of the following software: ORGANIZE! Your Collection (DOS Version) ORGANIZE! Your Collection (Windows Version) ORGANIZE! Your Collection (Windows Multimedia Version) ORGANIZE! Your... (all shareware versions) ORGANIZE! Your... (all lite versions) The DELDUPS.EXE file must be copied to the same drive and directory where the OYC.EXE file is located. It will not work if placed in any other directory. To use this utility go to the DOS prompt for the directory containing the OYC.EXE file, type DELDUPS, and push ENTER. This utility may be run in Windows by using the "RUN" option on the files menu. IMPORTANT: ALWAYS MAKE A BACKUP COPY OF YOUR CATALOG BEFORE USING THIS, OR ANY OTHER, UTILITY TO MODIFY THE CATALOG. The first screen will prompt you to enter the name of your Main catalog. The Main catalog is the one you are using as your catalog. It is the catalog that you do not want to change, but which you'd like to add new entries to. The DELDUPS utility will not make any changes to this catalog. Next you'll be prompted to enter the name of your secondary catalog. This is the catalog that you'd like to add to the main catalog after deleting the entries that are already in the main catalog. The next two screens are used to pick the fields that will be used for the comparison. You can only pick one field for each catalog, and the field for the main catalog must be indexed (only indexed fields will be shown on the list). You must pick fields that contain the same information in both catalogs. For example, in a music catalog you might pick the album title field in both catalogs. In a book or movie catalog, you should pick the book or movie title field in both catalogs. The utility will not doing a comparison. What it does is to load the first entry in the secondary catalog and get the information in the selected field. It then checks the index for the selected field in the main catalog. If it finds the information in the main catalog's index, it marks that entry as deleted in the secondary catalog. In this way, each entry that is already in the main catalog is marked as deleted in the secondary catalog. Keep in mind that an entry that is marked as deleted is still in the catalog. You can then run the OYC software and use the "Find Deleted" option on the Search Menu to check the deleted entries and be sure that they are entries you do not want to copy to the main catalog. Comparing catalogs for duplicate entries is a very difficult process. If the entry in one of the catalogs is typed slightly different, if the spelling of one word is different by one character, if the punctuation or spacing on any line is different by one character, the computer will see those entries as different. That's why we do not try to compare the entire entry. However, even comparing a single line in each catalog can result in some duplicated entries being missed or entries being marked as duplicates that are not duplicates. Thus, to be completely accurate it still takes a person looking at the entries. Once you are satisfied that the entries marked to be deleted can be deleted, use the "Eliminate Deleted" option on the Utilities menu. Then use the "Copy Entries" feature on the Utilities Menu to copy the entries from the secondary catalog and add them to the main catalog.
